Account Administrator Job Description:
We are seeking a Full-Time Account Administrator to support the sales growth of our Services Business Unit.  As a small-medium sized business in the emerging energy efficiency and renewable energy space, our goal is to grow sales to help change the world one building at a time.  The ideal candidate will be able to provide the foundation necessary to support such growth.  This position will report directly to the Associate Director of Sales with an indirect reporting relationship to the Business Development Managers.

Account Administrator Essential Duties and Responsibilities:
  • Provide exceptional customer service both internally and externally, anticipating needs, and maintaining professional communication.
  • Assist Business Development Manager with identifying prospects and qualifying leads for Melink’s service offerings.
  • Create and maintain prospective and existing client records and leads via Melink’s CRM
  • Evaluate mechanical plans to develop estimates and sales proposals for customers.
  • Receive and respond quickly to customer inquiries, maintain documentation of the communication, referring complex inquiries to the Business Development Managers.
  • Prepares written correspondence and makes phone calls to internal and external customers.
  • Own the order management process, from turning construction schedules and requests into sales orders.
  • Assist the National Account Team in building the weekly technician service schedule.
  • Prioritize and manage multiple tasks from different new business customers.
  • Assist the Business Development Manager in transitioning new accounts to the National Account Team.
  • Complete project management functions for new business opportunities including but not limited to: contract review, new vendor set up, scheduling, and project close out.
  • Process invoices, review contracts, and maintain internal documentation.
  • Continuously improve processes by identifying and implementing efficiencies.
  • If needed, support the National Account Team with administrative tasks including but not limited to order entry, reach outs, and quoting. 
  • Complete additional tasks as requested by supervisor.

Account Administrator Qualifications:
  • Bachelor's degree (BA) from a four-year college or university; or one to two years related experience and or equivalent combination of education and experience. Preference in Business Administration, Entrepreneurship, Communications, or Engineering/Industrial technologies.
  • Exceptional organizational skills to keep multiple tasks moving.
  • Have a keen eye for detail and the ability to follow up effectively.
  • A knack for multitasking and resolving conflicts calmly.
  • A high level of integrity and a commitment to top-quality work.
  • A strong work ethic and the ability to thrive in a team environment.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) on Windows 10.
  • Experience with ERP systems (SAP a plus).
  • Ability to comprehend and interpret mechanical plans and construction documentation (with training).
  • Strong sales/customer service skills (i.e. interpersonal skills, public speaking/presenting abilities, written and verbal communication skills, high emotional intelligence, positive attitude with a bent for service leadership).
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

While performing the duties of this Job, the employee is regularly required to stand; walk and talk or hear. The employee must frequently lift and/or move up to 10 pounds.  The travel required for this position is 15%.
