Admissions Counselor, Performing Arts

Position Summary

The Performing Arts Admissions Counselor is a member of Westminster University’s Enrollment Management division. This position reports directly to Senior Associate Director of Admissions and supports the Enrollment Management division and undergraduate performing arts programs. The Admissions Counselor is also a dotted-line report to the Westminster Performing Arts Director.

Enrollment Management is a collaborative team committed to providing and supporting services that attract, enroll, and retain students. The Enrollment Management division seeks to offer a student-centered, service-focused, and innovative enrollment experience that supports the university’s strategic priorities. As part of these efforts, the performing arts admissions counselor manages recruitment strategies and initiatives specific to the enrollment of undergraduate performing arts students.

Success in this role requires high interpersonal interaction and self-directed autonomous work. It is required that the employee be on-campus, in-person, but occasional remote work is possible.


Responsibilities:

Performing arts student recruitment

  • Effectively communicate Westminster’s mission and values to prospective performing arts students, including the benefits of a performing arts education within a liberal arts setting.
  • Foster personalized relationships by providing a student-centered and service-focused admissions experience.
  • Utilize Enrollment Management’s CRM (Slate) to develop targeted and individualized communication plans that assist students through the admissions and audition processes utilizing phone calls, text messages, email campaigns, printed materials, and other available resources.
  • Cultivate close partnerships with internal marketing and events teams to manage timelines, represent Westminster, and promote the performing arts programs.
  • Travel up to eight weeks annually to conduct high school visits, two-year college visits, college fairs, audition and portfolio days, information sessions, receptions, and meetings with secondary school and independent counselors, prospective students, families, and community-based organizations. Required travel, including some overnights and weekends, is primarily conducted from September to November and January to May.
  • Lead group information sessions, open houses, and meet one-on-one with prospective students and families both on and off campus.
  • Develop and maintain performing arts audition and application processes in Slate.
  • Review completed performing arts applications and support program-based admissions committees.
  • In conjunction with faculty directors and program coordinators, use quantitative and qualitative data to inform decision-making and to shape and lead recruitment plans that align with institutional priorities.

Territory Management

  • Develop, implement, report, and assess a domestic region-based recruitment plan that assists Westminster University in achieving its enrollment goals.
  • Utilize Enrollment Management’s CRM (Slate) to develop targeted and individualized communication plans that assist students through the admissions process utilizing phone calls, text messages, email campaigns, printed materials, and other available resources.
  • Build personalized relationships with prospective students, families, school counselors, alumni, and other constituents in support of the recruitment goals for the territory.

Campus and Divisional Engagement

  • Serve as a liaison to specific departments and functional areas across campus. Liaison roles are assigned based on the needs of the office.
  • Engagement in campus events and enrollment activities, including Admitted Students Day, New Student Orientation, and Commencement.
  • Member of one of the Enrollment Management Action Teams contributing to the division's overall success.

Additional Responsibilities:

  • Supervision of assigned staff and/or student positions as detailed in the Supervisor Handbook.
  • Considered essential personnel in cases of campus closure or emergency.
  • May be designated as essential personnel in cases of campus closure or emergency.
  • Other duties as assigned.

Minimum Requirements:

  • Bachelor’s degree and two to four years of higher education experience or other relevant experience
  • Goal-oriented and ability to develop new initiatives to improve enrollment operations and efficiencies.
  • Strong belief in collaborative efforts within the enrollment management team and with other administrative and faculty areas, including providing support/ training to colleagues.
  • Ability to adapt to changes in work environment where the workload, speed, and type of work varies throughout the admissions cycle
  • Commitment to providing a highly responsive and service-oriented admissions experience
  • Exceptional writing, communication, and interpersonal skills
  • Ability to work well with diverse populations in group and individual settings
  • Ability to prioritize multiple tasks, demonstrate organizational skills, and meet deadlines
  • Demonstrated organizational skills and ability to coordinate programs, projects, and teams with high level of autonomy

Preferred Qualifications:

  • Experience in performing arts
  • Experience in customer service and/or sales
  • Experience with enrollment management CRMs, preference given to those with experience working in Slate

Additional requirements:

  • Periodic overnight travel may be required.
  • Regular travel throughout the year and/or at specified times of the year will be required.
  • Extended hours, including evenings and weekends may be required.
  • Ability to climb, balance, stoop, kneel, and crouch required.
  • Ability to regularly lift and/or move up to 25 pounds required.
  • Valid drivers license and successful DMV check required.
