Position Overview

Provide administrative support to project managers and project superintendents, prepare owner/subcontractor change order requests. Project coordinator will report to the Sr. Project Coordinator.

Functions of Position


  • When NOI app is received from Civil Engineer, request check from accounting, have Vice President of Construction sign, make a copy for project file, mail to ADEQ. When approval is received, log it in the NOI-Dust Permit tracker, scan the copy to server file, and e-mail to accounting as well as the civil engineer. Superintendent receives a copy of the NOI, 11x17 SWPPP, and General Permit
  • Request Superintendent Packet from Admin; Request PSEP from Construction Assistant; Add project to all trackers
  • Process check requests for permits and/or C of O's
  • Create check requests as needed and log on project
  • Create credit card request as needed and log on project
  • Receive Blue Line Drawings (Super, PM, Director, stick)
  • Receive Owners Contract
  • Process change orders through Procore
  • Receive green line drawings, upload to Procore and have printed if necessary
  • Compare subcontract amounts to budget in Procore
  • Send out (2) sets of green line drawings, gift bag, and letter to owner
  • Receive blue/green or black/green change order information from Estimating and create change order,
  • Process subcontractor change orders, owner change orders, and contingencies as required. Save executed documents in appropriate file
  • Send monthly subcontractor billings
  • Review pay app and waiver to Procore information
  • Export all change orders, commitments, pay apps and budgets into the accounting system
  • At the end of project create Notice of Termination (NOT) and log in tracker
  • Warranty book- Create list of subs from Procore
  • Attic Stock Inventory List to super to complete for warranty book
  • Receive C of O, email out to LGE, save to server, copy to the server, add to warranty book
  • E-mail final demand letter to subs requesting any outstanding proposals
  • Review electronic warranty book and hard copy- (2) year warranties, sewer videos, as-builts, etc., are included. Send warranty book to owner
  • Receive superintendent packet and plans from super
  • Log project in Completed Project Tracker, remove from other trackers
  • Move completed project to 'Completed Projects' in file and place in inactive status in Procore

Required Attributes

MOST important is TEAM spirit To be successful as a Project Coordinator, you will need to be able to work on tight deadlines, be competent in using Microsoft Office applications such as Word and Excel, familiarity with construction management software, and have exceptional verbal, written, and organizational skills. Project Coordinator should possess personal qualities of integrity, credibility, and commitment to the LGE mission. Ability to multi-task; can work within a fast-paced environment. Self-motivated, organized, and communicates clearly. Logical, positive and friendly.


Reporting

Project Coordinator to report directly to Sr. Project Coordinator.


Evaluation

Annual review by Sr. Project Coordinator to include peer input. Review will be based on interactions and engagement with the TEAM, evidence of how you demonstrate company values, ability to manage workload and competency in the execution of your duties.
