Job Summary

Join our dynamic team at AiRight Cooling, Heating and Plumbing, a leading provider of plumbing, heating, and air conditioning services in Poway. As we continue to expand, We are seeking a motivated and outgoing Administrative Assistant to join our team with the opportunity to grow.

In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling appointments, planning meetings, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.

Responsibilities

  • Bookkeeping: assisting with financial records and facilitating seamless transactions. Entering Purchase orders (Bills), reconciling credit cards and vendor statements.
  • Staffing and Training: Determine staffing needs, assist with interviews, and onboard new hires. Provide and assist with comprehensive training to employees, including technicians, to ensure adherence to company policies and procedures.
  • Work as a team to maximize potential and foster a culture of excellence.
  • Customer Engagement: Assist with resolving customer escalations, communicate effectively with clients to address issues and provide updates on service outcomes.
  • Reporting and Analysis: Generate and track weekly reports on employees performance, including technician timesheets, commissions, and repair activities. Utilize data insights to drive informed decision-making and optimize business outcomes.
  • Process payroll including commissions and bonuses calculation and meet deadlines.

Qualifications
  • Previous experience as an Administrative Assistant or similar position preferred
  • 3 or more years in trades/home service industry
  • Strong organizational and planning skills in a fast-paced environment
  • Understanding of office equipment, systems, and procedures
  • Skilled in Microsoft Office (Word, Excel, Outlook)
  • Skilled in Google Workspace
  • Advanced in QuickBooks
  • Experienced in Service Titan
  • Excellent time time management skills and ability to prioritize multiple tasks
  • Strong problem-solving skills and attention to detail
  • Excellent verbal and written communication skills

Education:
  • High School Graduate or General Education Degree (GED): Required
  • Associate's Degree (two year college or technical school) Preferred, Field of Study: Business
  • Bachelors Degree Preferred, Field of Study: Business
