GENERAL OVERVIEW

The Executive Assistant plays a pivotal role in supporting the efficient functioning of executive leadership within Metrc. This position involves managing administrative tasks, coordinating executive schedules, and facilitating effective communication between executives and various stakeholders. The ideal candidate will demonstrate exceptional organizational skills, discretion, professionalism, and the ability to handle sensitive information with confidentiality.


KEY RESPONSIBILITIES

Core duties and responsibilities include the following:

  • Embodies Metrc’s Leadership Principles
  • Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executive's behalf.
  • Organize and schedule meetings, arrange travel, and handle correspondence directed to executive team.
  • Maintain comprehensive and accurate corporate records, presentations, documents, and reports
  • Perform minor accounting and bookkeeping duties
  • Organize meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Answer incoming phone calls in a polite and professional manner and accurately taking messages
  • Welcome visitors and identify the purpose of their visit before directing them to the appropriate department
  • Manage the executive's day-to-day calendar, including making appointments and prioritizing the most sensitive matters
  • Handle sensitive information with the utmost confidentiality and discretion
  • Coordinate travel arrangements and create trip itineraries
  • Use various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects
  • Demonstrate professionalism in all interactions, maintaining a high level of integrity
  • Proactively foster positive relationships, anticipating needs and addressing concerns to enhance overall collaboration and efficiency.
  • Performs other duties as assigned
Requirements:

QUALIFICATIONS- KNOWLEDGE, SKILLS, & ABILITIES

  • 2-3 years of experience as an Executive Assistant or relevant experience supporting C-level executives
  • Excellent time management and ability to meet deadlines
  • Excellent verbal and written communication skills
  • Well-developed organizational skills and ability to multitask
  • Problem-solving and decision -making skills
  • Ability to act as gatekeeper and escalate relevant information to executives as needed
  • Skilled in the use of standard office equipment (e.g., copiers, business telephone systems, projectors, fax machines).
  • Ability to work effectively with minimal supervision
  • Strong interpersonal skills
  • Ability to display high level of professionalism and confidentiality
  • Exceptional attention to detail
  • Familiarity with Microsoft Office Suite and other scheduling, bookkeeping, and project management software can also be beneficial.
  • One-year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

PHYSICAL DEMANDS AND WORK ENVIRONMENT

  • In-office position at 4 days a week or more, if requested based on the needs of the executive group
  • Frequently required to sit
  • Frequently required to talk or hear
  • Continually utilize visual acuity to operate equipment, read technical information, and/or use a keyboard and mouse. Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
