The Talent Acquisition (TA) Coordinator is responsible for supporting Mosaic Companies' onboarding and offboarding process. This critical role is vital in attracting top talent to join our organization, ensuring a seamless and efficient hiring experience for internal stakeholders and external candidates. The person in this role will support multiple locations and ensure hiring practices are in accordance with local, state, and federal laws. This position is in office.


Responsibilities


  • Onboard new hires for multiple locations; this includes preparing new hire documents and scheduling training. Follows up with new hires as needed to complete onboarding.
  • Verify phone stipend eligibility through OLs and notify payroll accordingly.
  • Send pre-hire documents to candidates via DocuSign, track completion, and file documents.
  • Perform background (post-offer) and reference checks for applicants pre-hire.
  • Send Motor Vehicle Reports (MVRs) to insurance companies for designated roles (Drivers, Sales, Business Managers) and file results.
  • Create new hire IT tickets and send welcome emails to new employees.
  • Initiates communication with assigned departments to ensure new hires are set up appropriately prior to the start date.
  • Ensures all employment candidates are eligible for employment; reviews I9 forms and saves documents presented on HR drive.
  • Conduct new hire orientation for multiple locations (online); launch date, and logistics TBD.
  • Ensure candidates and new hires have a positive experience. Performs customer service functions by answering employee requests and questions.
  • Work with the HR team to maintain efficient and effective onboarding processes.
  • Track, analyze, and report data to improve the applicant and new hire experience.
  • Assist HR specialists and hiring managers in updating job descriptions.
  • Assist and function as a backup to the Talent Acquisition Specialist. Assist with the recruitment process and job ad postings.
  • Manages exit interview process from beginning to end, including communicating resignations and terminations with other departments.

Process IT termination forms for departing employees

Provide instructions to managers for returning company equipment, creating shipping labels, and other necessary tasks


  • Partner with the rest of the HR team to propose, participate, and execute HR projects as needed.
  • Update company organizational charts as needed.
  • Perform other duties as assigned and assist with projects as needed.


Qualifications

  • High School Diploma required; Bachelor’s degree in Human Resources Management or Business Administration preferred.
  • 1-2 years of Talent Acquisition/HR Coordinator experience preferred.
  • Must be enthusiastic, proactive, energetic, adaptable, and a self-starter.
  • Working knowledge of MS Office applications such as Word, Excel, Outlook, and PowerPoint.
  • Requires critical thinking skills, superior organizational skills, decisive judgment, and the ability to work with minimal supervision. Must be able to work independently and have attention to detail.
  • ADP WFN and ATS knowledge/experience are a plus.
  • Must be bilingual (English/Spanish)
  • Strong verbal and written communication skills with the ability to communicate effectively across all levels of a diverse employee population.
  • Ability to act with integrity, professionalism, and confidentiality.
