The Talent Acquisition Specialist plays a crucial role in supporting the onboarding and offboarding processes at Mosaic Companies. The individual in this role will oversee multiple locations and guarantee that hiring practices comply with relevant local, state, and federal regulations. This position requires in-office attendance.
Key Responsibilities- Facilitate the onboarding of new employees across various locations, which includes preparing necessary documentation and organizing training sessions. Follow up with new hires to ensure completion of onboarding tasks.
- Assess phone stipend eligibility through operational leads and communicate findings to payroll.
- Distribute pre-employment documents to candidates via electronic signature platforms, monitor completion, and maintain organized records.
- Conduct background checks and reference verifications for candidates after job offers are made.
- Send Motor Vehicle Reports (MVRs) to insurance providers for specific roles and maintain accurate filing of results.
- Create IT support tickets for new hires and send welcome communications to them.
- Coordinate with relevant departments to ensure new employees are adequately prepared before their start date.
- Verify employment eligibility for all candidates; review I-9 forms and securely store documentation in the HR database.
- Lead new hire orientation sessions for various locations (online format); details regarding launch dates and logistics will be determined.
- Ensure a positive experience for candidates and new hires by providing excellent customer service and addressing employee inquiries.
- Collaborate with the HR team to enhance the efficiency and effectiveness of onboarding processes.
- Monitor, analyze, and report on data to improve the experiences of applicants and new hires.
- Assist HR specialists and hiring managers in revising job descriptions as necessary.
- Support and serve as a backup for the Talent Acquisition Specialist, aiding in recruitment efforts and job advertisement postings.
- Oversee the exit interview process from start to finish, including communicating resignations and terminations to relevant departments.
Process IT termination forms for employees leaving the company.
Provide guidance to managers on returning company property, generating shipping labels, and other essential tasks.
Additional Responsibilities- Collaborate with the HR team to propose, engage in, and implement HR initiatives as required.
- Update organizational charts as necessary.
- Perform other assigned duties and assist with various projects as needed.
- High School Diploma is required; a Bachelor's degree in Human Resources Management or Business Administration is preferred.
- 1-2 years of experience in Talent Acquisition or HR Coordination is preferred.
- Must demonstrate enthusiasm, proactivity, energy, adaptability, and self-motivation.
- Proficient in MS Office applications, including Word, Excel, Outlook, and PowerPoint.
- Requires strong critical thinking abilities, excellent organizational skills, sound judgment, and the capacity to work independently with minimal supervision. Attention to detail is essential.
- Experience with ADP Workforce Now and Applicant Tracking Systems is advantageous.
- Bilingual proficiency in English and Spanish is required.
- Exceptional verbal and written communication skills, with the ability to engage effectively with a diverse workforce.
- Must uphold integrity, professionalism, and confidentiality in all interactions.
