We are seeking an intelligent, motivated, personable and hands-on individual to join our team From 10am to 7pm this role will provide a variety of administrative support tasks as well as interface with clients, team members and guests at our main office located in the Ybor City area of Tampa, FL. This Position reports to the Senior Director of Operations.

The Company and its affiliated entities’ primary business lines include investment management, real estate development, architecture and interior design and family office services. The goal of the Company is to provide seamless resources and expertise to the Company, its affiliated entities, investment entities and family office services clients, and the goal of this Position is to provide seamless support to the Company and its affiliated entities, greet guests, ensure meetings are setup and successful and anticipate needs for the offices.

Core Responsibilities:

  • Greet visitors warmly, ensure their comfort, and notify team member of their arrival
  • Assist team members with scheduling meetings, contact management, expense reports, travel arrangements, and document management requests
  • Maintain conference room scheduling and preparation for client meetings
  • Ensure conference rooms, kitchens, supply areas, and reception areas are fully stocked, dishes are cleaned/replaced, and order replacement items
  • Assist with the coordination of office maintenance with outside vendors
  • Coordinate mail and package flow and in and out of the office
  • Assist with material preparation for client and outside meetings
  • Facilitate office activities including happy hours, team lunches, and conferences
  • Assist team members with various other tasks as requested

Skills & Qualifications Required:

  • Minimum of 3 years of experience as an office assistant or receptionist
  • Proficiency with Microsoft Office programs, with strong emphasis on Outlook
  • Fast learner committed to coming up to speed on new software quickly
  • Ability to perform physical tasks such as lifting up to 40lbs and standing for extended periods of time
  • Desire to work in a small collegial environment; ability to self-motivate and manage multiple tasks and projects
  • Be a team player who contributes to and drives the team to succeed
  • Highly detail- and data-oriented with solid critical thinking, organizational and analytical skills
  • Comfortable taking initiatives and suggesting new ideas, processes, improvements, etc.
  • Communicates effectively and promptly with internal and external parties
  • Ability to maintain strict confidentiality of all Company matters
