Position Summary
The Front Desk Assistant is a vital part of the Operations team. This position plays an essential role in the supporting the efficiency of our office’s operational functions. The Front Desk Assistant provides general administrative support to and, at times, clinical staff. The ability to multitask while maintaining schedules is important for this position. The ideal candidate for this position is resourceful, has excellent problem-solving skills, is a self-starter, and is organized. Prioritizing while successfully meeting timelines is key to success. As our team expands, this role has the potentiality of becoming a full-time position, if desired.
Job Responsibilities
- Answer telephone calls, as well as screen and forward calls as needed
- Send, receive, and forward fax and emails as directed
- Demonstrate exceptional customer service skills to all clients and colleagues
- Respond to questions and requests from clients explaining the process for scheduling an appointment
- Send clients the documentation that they need prior to the first appointment
- Make sure client profile is updated prior to the appointment, and legal forms and client handbook are uploaded to their profile
- Prepare client packets and documents that are required for services to begin
- Check patients in and out. Verify set up of next appointment for patient
- Collect and accurately record copays
- Verify insurance coverage of all active patients as directed by management the first day of each month
- Schedule appointments for office’s clinical staff
- Send mail out directly from the post office and purchase stamps as needed
- Maintain and monitor updated inventory tracker which includes items pantry items, cleaning supplies, office supplies, clinical test and protocols
- Follow Office Maintenance plan to ensure cleanliness of office which includes tasks such as watering the plants, disposing of garbage, cleaning water dispenser, etc.
- Generate memos, emails, and reports
- Comply with practices that meet HIPPA and FERPA standards
Education and Experience Requirements
1. Highschool diploma or equivalent.
2. At least 3 years’ of Healthcare experience preferred
3. Experience working in a diverse multicultural setting; SPANISH-SPEAKING is REQUIRED
