We are seeking a talented Office Manager/Administrative Assistant to join our dynamic and growing team. This person will play an important role in supporting the administrative and back-of-house operations for the #1 ranked female podcast host in the world, New York Times best-selling author and content creator who inspires and motivates millions of people around the world.

What you'll be doing:

Office Responsibilities:

  • Ensure smooth operation of the Boston office by:
    • maintaining a well stocked office & kitchen
    • ordering and organizing office supplies and ensuring sufficient stock levels of all items
    • overseeing the overall cleanliness and tidiness of the office and kitchen
    • ensuring business mail and packages are picked up and delivered to the appropriate team members
  • Be the primary liaison with all outside vendors/service providers coming to the office fostering a positive relationship
  • Be the primary liaison with the building's management company including submitting tickets in the building's app & programming employee key fobs
  • Event coordination duties include: order, set up and clean up of team catered lunches and/or dinners, office events and celebrations, etc…
  • Proactively identify and resolve office-related issues
  • Stay up-to-date on company policies and procedures
  • Greet and assist on-site guests

Administrative Responsibilities:

  • Provide administrative support to Chief Operating Officer and Operations Manager
  • Accounting/HR support
    • Support with accounts payable, timesheet, expense report processing, and PTO administration
    • Assist with HR administrative tasks such as onboarding of new hires, filing and data entry
  • Arrange travel, hotel reservations, and car services
  • Schedule meetings, and ensure Boston conference room is reserved accordingly for office staff
  • Support with research initiatives and tasks assigned by COO and/or Operations Manager
  • Maintain Google Drive filing system
  • Attend to business and personal errands as needed

Qualifications:

  • Bachelor's Degree preferred
  • 5+ years experience as an office manager, administrator, office assistant in executive office
  • 1-2 years bookkeeping experience preferred
  • Ability to navigate multiple software systems and platforms
    • Experience with Apple Laptops, Google Suite, Slack, Monday.com, and QuickBooks preferred
  • Have a service orientation mindset and provide world class customer service
  • Extraordinary attention to detail
  • Strong organizational and time management skills
  • Ability to prioritize tasks and meet strict deadlines
  • Excellent verbal and written communication skills
  • Ability to problem solve independently while also working well as part of a team
  • Thrives in an entrepreneurial environment
