POSITION TITLE: Medical Coordinator
REPORTS TO: Clinic Manager
POSITION SUMMARY:
The Medical Coordinator is responsible for providing clerical support for the screening clinic and mammography program including scheduling of clients and data entry of client information.
Work performed in this position will be of a complex, professional and confidential nature. Work requires an understanding of medical office concepts, medical terminology and confidentiality regarding medical information. This position requires the ability to make decisions and to manage multiple functions at one time. This position will have daily contact with the general public as well as, frequent employee contact. A positive attitude and cooperative image is key for this position.
Work performed will be under the general supervision of the Clinic Manager in cooperation of the other screening services team members. This position requires a significant amount of independence and self-direction.
PRINCIPAL RESPONSIBILITIES/ESSENTIAL FUNCTIONS:
- Responsible for the scheduling of clients for all screening programs (mammography and cancer screenings). This includes patient scheduling, determining client eligibility for assistance programs such as the Breast and Cervical Cancer Project (BCCP); obtaining demographic information, requesting prior films and or medical records as necessary and, mailing out registration and BCCP applications/consents to clients.
- Responsible for patient registration on clinic days; checking patients in, verifying demographics and insurance, taking payment. Updating all information in the Electronic Health Record (Epic).
- Responsible for completing the Daily/Weekly Pt Payment Report and submitting collected monies to the Fiscal Department.
- Responsible for assisting the Clinic Manager with various administrative duties such as preparing reports, sending client/provider letters, memos and other correspondence.
- Responsible for collaborating with the Electronic Health Record & Healthcare Billing Manager to report appointment outcomes to BCCP.
- Assist Advanced Practice Nurse Provider with off hour’s community clinics. Not to exceed once a week.
- Scheduling of interpretation services for patients as needed.
- Other routine duties such as arranging for transportation, assisting with the maintenance of the medical supply room, maintaining the cleanliness of the clinic waiting room and stocking the patient education materials.
WORKING CONDITIONS:
Work is primarily in agency office, 40 hours a week. Hours 7am – 5pm with some evening and weekend hours for community clinics.
QUALIFICATIONS:
Strongly prefer an Associate’s Degree as a Medical Secretary, Medical Billing and Coding, or a related field; however, combination of education and experience will be considered. Bilingual in Spanish is preferred. Three years of advanced complex office work including customer service, advanced word-processing skills using Microsoft Word, basic to intermediate spreadsheet skills using Microsoft Excel. Position requires an ability to work with the public in a friendly, customer service manner.

- Knowledge of the aging process and sensitive to the elderly and disabled population needs
