We are seeking a highly organized and detail-oriented Accounts Payable Administrative Assistant to join our team. The ideal candidate will be the initial point of contact for our AP email inbox and physical mail, ensuring that payment requests are processed promptly and inquiries are routed to the appropriate personnel. This role involves managing various administrative tasks, preparing reports, following up on outstanding balances, and monitoring utility invoices to ensure timely payment.


RESPONSIBILITIES


  • Serve as the initial point of contact for the Accounts Payable email inbox and physical mail.
  • Review incoming emails and mail, categorize requests for payments, and input payment requests into our AP system (Yardi).
  • Respond to emails or route them to the appropriate AP personnel for further action.
  • Prepare and distribute special reports as required.
  • Contact vendors and site personnel to follow up on outstanding invoice balances and resolve discrepancies.
  • Monitor utility invoices to ensure they are processed and paid in a timely manner.
  • Maintain accurate records and documentation related to accounts payable transactions.
  • Assist with the reconciliation of accounts payable transactions.
  • Support the AP team with other administrative tasks as needed.
  • Attend company sponsored events that relate to the development of the team, which, from time to time, may include overnight stays at locations away from the employee's home.
  • Assume additional tasks due to vacations, illnesses or other workload issues as necessary to meet departmental goals.

EXPERIENCE


  • High School education or equivalent is needed with proficiency in both verbal and written communication skills.
  • Proven experience in an administrative or accounts payable role.
  • Familiarity with Yardi or similar AP software is highly desirable.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and ability to handle vendor inquiries professionally.
  • Maintain a fast work pace and high-volume workload.
  • Be a strong team player and able to take initiative on projects.
