Hours: Monday – Friday, 8:00 AM – 4:00 PM reduced summer hours 9:00 AM – 3:00 PM
Reports to: Chief Financial Officer
SUMMARY:
To assist the Chief Financial Officer in the daily operations of the accounting and human resources and business functions of Austin Waldorf School. Interact directly with faculty and staff, students and the parents as well as externally with vendors and other regulatory agencies, as required and outlined by the position.
RESPONSIBILITIES:
- Cash Management which includes oversite or completion of accurate transactions for:
- Investment transactions
- All disbursements and disbursement policies, including benefits, debt service, payroll taxes, etc.
- Review all cash receipts (tuition, and all auxiliary income sources)
- Review all bank and investment account reconciliation
- Timely and accurate accounts receivable collections and management of delinquent accounts including any 3rd party collections activities.
- Assist CFO in the development of appropriate policies and procedures to ensure the safeguard of all assets
- Input revenue journal entries for electronic cash deposits received from our camp software platform.
- Juniper Tree
- Deposit sales at a minimum of once per week.
- Enter Cost of Goods Sold reported in the POS system monthly.
- Pay monthly sales tax in a timely manner.
- Review and reconcile sales tax general ledger as part of month close.
- Prepare journal entry for the period’s payroll in the accounting software platform after payroll has been approved by both the Business Office Associate and the Accounting & HR Specialist.
- Preparation of a monthly close package for review by the CFO.
- Assist with the preparation of summary and detailed financial information needed for Finance or Board Committee meetings, with guidance from the CFO.
- Assist in the preparation of any other ad hoc financial reporting that may be identified as needed
- Student Enrollment Contracts
- Be cross-trained in FACTSIS in the case of anyone’s absence can either process student enrollment or be a resource to someone needing assistance in processing student enrollment.
- Work/collaborate with the Information System Manager to ensure all students/parents are invoiced correctly, per contract terms
- Participate with the CFO in the Financial Aid Committee
- Review financial aid applications and recommend awards within the school’s budget
- Assist in the development of best practice processes and procedures for financial aid
- Assist in the development of the best strategic plans to align with enrollment goals and growth
- Assist in the development of parent communications and instructions packages and meeting with families, as needed.
- Participate in the annual audit, 990 and 5500 preparation. Work with the CFO to prepare and provide all schedules and records as requested by the auditor.
- Census information
- Assist CFO in the development and implementation of automation of activities to gain efficiencies and streamline and consolidate any activities that are duplicative in nature.
- Human Resources activities/support to include:
- Maintain HRIS platform in coordination with Business Office Associate and Office Manager. Maintain and oversee personnel files to include all appropriate documentation: employment applications, agreement/salary documents, payroll and tax forms, benefits enrollment, changes and or termination documentation.
- Work with Business Office Associate on the day to day benefits administration including:
- Annual enrollment, changes and terminations, COBRA notifications
- New employee orientation
- Accurate payroll deductions
- Claims resolution
- Ensure regulatory compliance with required communications, posting employment notices and internal documentation and benefits materials
- Assist employees with any worker compensation claims and follow up as may be needed
- Assist employees with any disability claims, as may be needed
- Affordable Care Act compliance
- Tracking new hires and benefit offerings enrollment
- Form 1095-C and 1094C, as needed, with oversight of any 3rd party providers
- Compliance with Texas child support laws and any required employee garnishments.
OTHER DUTIES:
- At Austin Waldorf each Faculty & Staff member contribute to Drop-off (8:00 AM), Recess (times vary), and Pick-up (3:30 PM) duties. Each duty spans 30 – 45 minutes, twice per week.
- Attendance at after school meetings (past 4pm) will be required from time to time.
- Work may be required for a portion of school breaks: Thanksgiving, Winter and Spring Break.
REQUIREMENTS:
- Accuracy, organization, efficiency and timeliness with:
- All business transactions
- Policy and regulatory compliance
- Confidentiality with all information, especially human resources and personnel data
- Supporting the mission and vision of AWS
- Bachelor’s degree in Accounting or related field
- Minimum of 5 years’ experience in accounting in a non-profit environment
- Proficient in accounting software (preferably QuickBooks)
- Proficient in MS Office software, specifically Excel
- Proficient in Google Suite tools
- Ability to organize and prioritize work to meet deadlines; adapt to and work within the school’s culture and calendar/schedule
- Strong attention to detail
- Ability to communicate effectively, both verbally and in writing
- Ability to work independently and as a team player under the direction of the CFO
- Ability to make recommendations to effectively resolve problems and issues by using judgment that is consistent with standards, practices, and policies as established by the CFO and AWS.
- Friendly and courteous with ability to establish trust with parents, faculty and staff
- Demonstrated ability to hold financial and parent/faculty/staff matters in confidence
- Be able to lift as much as 30 lbs., if or when needed
- Works predominantly sitting, in an office environment, but other duties, could involve working outside in various weather conditions
