The Receptionist/ Accounting Assistant position supports the Operations department with ordering of supplies and other purchasing needs. This position supports the Accounts Payable and Accounts Receivable departments in day to day activities, as well as, acting as manning the front desk from 8 - 5 pm.

Duties and Day-to-Day Responsibilities, but not limited to the following:

  • Accounts Payable
    • Assists with the management of the AP email inbox
    • Codes data for input to financial data processing system according to company procedures
    • Verifies and posts details of business transactions, such as purchase orders and invoices, and maintains computer spreadsheets and databases
    • Audits invoices against purchase orders and research discrepancies
    • Investigates problems that vendors or purchasing agents have with obtaining payment for bills
    • Back-up for Check Runs
  • Accounts Receivable
    • Print Shipping Packets from SharePoint for AR invoicing
    • Print the associated documents from GP for AR invoicing
    • Back-up for AR Invoicing
  • Assists with related special projects, as needed
  • Order office supplies
  • Processing incoming and out going mail.
  • Reserve boardroom
  • Tidy Kitchen and board rooms
  • Handle appointments
  • Greet Visitors
  • Answer Calls in a professional manner - internally/externally.

 

 

Minimum Training, Education, and Experience Requirements:

  • Associates degree preferred (equivalent educational training or business experience may be accepted)
  • Minimum 1 year experience necessary
  • Experience using Microsoft Dynamics Great Plains or similar software is preferred
  • Intermediate knowledge and experience in Microsoft Office including Excel and Outlook is necessary
  • Able to effectively interface with internal and external customers
  • Must be able to handle confidential information with maximum discretion
  • Able to understand business principles and apply them accordingly
  • Able to work independently and on a team within a fast-paced environment
  • Demonstrate good judgment while managing projects, multi-tasking, prioritizing, and meeting deadlines with a sense of urgency
  • Detail-oriented, organized, efficient, and proactive

The Accounting Assistant will be held accountable for the following metrics (not all inclusive) as it relates to the operational area assigned.  Additional metrics may be assigned.
