Job Title: Regional Office & Data Manager


Full Time- Non-exempt


Reports to: County Operations Director


Job Purpose:


Provide administrative support for county operations to include member tracking database, site data compliance, student enrollment, office management and program support.


Office Manager Job Duties:


  • Manage member database, code member payments to match bank deposits, bill members monthly, statements, maintain reoccurring payments, assist parents and site directors with parent portal challenges.
  • Opening and closing the office each day.
  • Maintains board information, reports, files, meeting preparation, minutes, handouts, agendas, room and meal arrangements, and other board materials and information as needed.
  • Answer and route incoming calls regarding donations, services/referrals, volunteering, employment opportunities, Club membership, etc. Also expected to welcome visitors and guests.
  • Protects operations by keeping information confidential.
  • Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
  • Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Is informed about the organization and provides information by answering questions and requests.
  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; and keeping area clean and organized.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Attends and participate in weekly meetings and be available to work at development events and board meetings.
  • Available for errands to pick-up materials for events, support Club sites or receive in-kind donations.
  • Contributes to team effort by accomplishing related results and special projects and tasks as needed.


Experience: 3-5 years as an administrative assistant/secretary/office manager Skills/Qualifications: Reporting Skills, Administrative Writing Skills, Microsoft Office Skills, Organization, Time Management, Analyzing Information, Professionalism, Problem Solving, Supply Management, Inventory Control, Verbal Communication, Web-based member or customer management systems
