Who We Are Looking For:

The Procurement Agent is responsible for entering and managing purchase order information in the company's ERP and CRM. This role involves ensuring that all data related to purchase orders is accurate, complete, and up to date. The agent works closely with the order management, finance, and inventory teams to facilitate smooth procurement operations.

What will you be doing as a Procurement Agent:

  • Accurately enter purchase order (PO) details into the company's procurement system
  • Ensure all information is correctly recorded, including product descriptions, quantities, prices, and supplier details
  • Update and maintain purchase order records, adjusting as necessary
  • Review purchase orders for accuracy and completeness before data entry
  • Coordinate with the CSR team to verify product specifications, pricing, and delivery dates
  • Process purchase orders in a timely manner to ensure smooth procurement and delivery processes
  • Verify the accuracy of data entered by cross-referencing purchase orders with supplier invoices and delivery receipts
  • Reconcile discrepancies between purchase orders, invoices, and inventory records
  • Work with the finance department to ensure proper alignment between purchase orders and payment processes
  • Communicate with suppliers and internal teams to clarify any issues related to purchase orders or data discrepancies
  • Provide support with cross-functional departments by managing and organizing purchase order documentation.
  • Maintain accurate and organized records of all purchase orders, invoices, and related documents
  • Assist in audits by providing necessary documentation and reports related to purchase orders
  • Ensure that all data entry activities comply with company policies and procedures
  • Follow data entry best practices to minimize errors and maintain data integrity
  • Warehouse PTO backup as necessary
  • Other Duties as Necessary

Required education, technical skills, and/or experience:

  • High School Diploma or Equivalent
  • Proven experience in data entry, preferably in a purchasing or procurement environment.
  • Proficiency in data entry software, spreadsheets (e.g., Microsoft Excel), and procurement systems.
  • Excellent attention to detail and accuracy
  • Strong typing skills and the ability to input data quickly and efficiently.
  • Proficiency in Microsoft Office Suite and experience with order management software/systems.
  • Ability to work independently and as part of a team
  • Proactive in identifying and resolving issues
  • Ability to thrive in an environment of repetition with changing priories
  • May require occasional lifting of material and supplies

Travel:

is occasionally required for this position. Some projects may require out-of-the-area and overnight travel. Must have a valid driver’s license and motor vehicle insurance. Must be able to travel overnight, as needed.
