Reporting to the Executive Director of Student Development, the Administrative Assistant for Student Development is responsible for providing logistical support for each division within Student Development, assisting in daily office procedures, and supporting in executing departmental objectives. This role will perform various administrative and clerical tasks such as weekly departmental communication to students, answering phone calls and responding to emails, preparing documents for meetings, monthly expense reports, and coordinating the schedules of departmental directors. This role requires an individual to multi-task and demonstrate competencies in all university administrative and clerical procedures. This position will occasionally be informed of confidential issues that demand the highest standards of professionalism, discretion, and prudence.

Position Specific Responsibilities
  • Coordinate and manage event logistics, including scheduling, room reservations, and coordinating setup and cleanup.
  • Utilize Planning Center Online to plan and manage small group activities and data.
  • Maintain and update student information in the People platform of Planning Center Online to maintain system accuracy.
  • Manage calendars and schedule meetings for departmental directors to ensure operational efficiency.
  • Schedule students for TKU events and activities such as chapel, serve teams, and ministry teams.
  • Track departmental expenses, process receipts, and prepare monthly accounting reports for the Student Development departments to ensure financial compliance.
  • Manage the Student Life, TKU Send, and Chapel Online email accounts to provide timely responses and exceptional customer service.
  • Monitor and process online form submissions from TKU Send, Chapel Online, and student-care forms.
  • Serve as the initial point of contact for incoming phone calls and general inquiries for the department.
  • Assist with updating information on departmental social media accounts as needed.
  • Assist in promoting campus-wide events organized by Student Development and collaborate with TKU Marketing to ensure accurate event details are communicated.

University-Wide Responsibilities

  • Support institutional objectives by performing additional tasks and duties as assigned.

QUALIFICATIONS
Education:
  • High School Diploma, Required
  • Bachelor’s Degree, Preferred
 Experience:
  • 1-2 years of experience in customer service or administrative support
Competencies:
  • Ability to maintain the integrity of confidential information.
  • Ability for critical and logical thinking, good judgment, and problem-solving.
  • Clear and concise verbal and written communication skills.
  • Strong knowledge and technical skills in Office 365- specifically Word, Excel, and Outlook

  • Ability to interpret and apply policies, procedures, rules, and regulations.
