POSITION SUMMARY:


The Lead OTC Inventory Specialist oversees the ordering, storage, receiving and distribution process of SunScripts OTC products and supplies as well as having managerial duties. Solis Health Plans is seeking a detailed and results oriented candidate to oversee the inventory management of the OTC fulfillment warehouse location as well as the OTC kiosk provider sites. The Lead OTC Inventory Specialist will work closely with management, develop and improve existing procedures and policies, prevent losses, and occasionally do some heavy lifting. Other responsibilities include maintaining storage facilities, ensuring the accuracy of inventory records, compiling balance, price, and cost reports, and doing weekly counts of all products.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Responsible for efficient purchasing of inventory, supplies, and capital equipment.
  • Tracking and updating inventory products and pricing accordingly through spreadsheets and internal systems.
  • Create and review Purchase Orders (POs).
  • Report Utilization trends that will influence purchasing activities.
  • Schedule timely returns of overstock.
  • Rotate inventory and check for outdated or soon to be outdated products proactively.
  • Follow up on new and back orders to confirm the correct shipping and delivery date; resolve shipping errors.
  • Reporting inventory status and discrepancies to management and advising on process improvements.
  • Conduct monthly (or more frequently) inventory on warehouse location and kiosk locations.
  • Perform inventory analysis and negotiate competitive pricing for inventory and specific projects.
  • Coordinating with various site managers to accurately collect data and maintain updates on inventory usage.
  • Developing loss mitigation processes and protocols.
  • Compiling, updating and maintaining inventory reports for all sites.
  • Forecasting future inventory requirements.

MANAGERIAL RESPONSIBILITIES:

  • Oversees departmental personnel in conjunction with direct supervisor and Human Resources to include recruiting, hiring, training, monitoring, performance management, scheduling and initiating coaching/counseling and assumes responsibility for other duties related to personnel.
  • Resolves any Solis Health Plans member’s related grievance in a prompt fashion and provides Grievance recap.
  • Prepares operational reports to be provided to direct supervisor.
  • Submits “helpdesk” requests for IT related issues, with copies to appropriate team.
  • Manage FedEx and DotExpress processes required for mailing orders.
  • Properly handles all FedEx and DotExpress returns for non-deliverable orders.
  • Prepares and processes OTC claims forms and records daily.
  • Makes changes in SunScripts database system to update members’ addresses.
  • Reviews and approves timesheets for employees and prepares schedules for OTC clerks.
  • Reviews overtime report and ensures communication with staff as appropriate.
  • Maintains a clean and safe department by following procedures, rules, and regulations.
  • Established a comfortable environment for the customer by showing them that they are dealing with a well-trained professional.
  • Promotes and contributes to a positive, problem-solving environment.
  • Assists customers, family members and others with concerns and empathy; respect their confidentiality and privacy and communicate with them in a courteous and respectful manner.
  • Ensures compliance with HIPAA, OSHA, and other federal, state, and local regulations.
  • Participates in meetings, training, and in-service education, as required.


QUALIFICATIONS & EDUCATION:


To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • High School Diploma or G.E.D.
  • Minimum of 2 years of experience in an inventory-related goal.
  • General knowledge of over-the-counter products is preferred.
  • Valid Driver’s License and capability of visiting sites throughout South Florida, including centers in Broward and West Palm Beach at least once per month when needed.
  • Excellent communication skills in English and Spanish.
  • Excellent organizational skills.
  • Excellent time-management skills.
  • Knowledge of Microsoft Excel spreadsheets, Microsoft Word and Outlook.
  • Able to lift, bend and reach when needed.
