We are seeking a dynamic and organized Special Event Assistant to join our team and support the planning and execution of fundraising events. In this role, you will work closely with the Event Manager to coordinate logistics, engage with event participants, and ensure the success of our special events. This is an exciting opportunity for someone passionate about event planning and eager to contribute to meaningful causes through their work.

Responsibilities:

  • Assist in the planning and coordination of fundraising events from inception to completion.
  • Coordinate logistics for events, including venue selection, catering, transportation, and audiovisual equipment.
  • Assist with the development and execution of event marketing and promotion strategies.
  • Communicate with event vendors, sponsors, and participants to ensure all needs are met and expectations are exceeded.
  • Provide on-site support during events, including set-up, registration, and troubleshooting.
  • Assist with post-event activities, such as attendee surveys, data collection, and follow-up communications.
  • Maintain event databases, records, and documentation.
  • Collaborate with internal teams to ensure seamless coordination and execution of events.
  • Handle inquiries from event participants and stakeholders in a timely and professional manner.
  • Assist with other event-related tasks and projects as needed.

Qualifications:

  • Bachelor's degree in Event Management, Hospitality, Marketing, or related field preferred.
  • Previous experience or internship in event planning, fundraising, or related field is a plus.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and ability to multitask in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and familiarity with event management software/tools.
  • Enthusiasm for nonprofit work and event fundraising initiatives.
  • Ability to work flexible hours, including evenings and weekends, as needed for events.
