The Accounting Assistant- Accounts Payable is responsible for providing clerical support to the business office including daily operation of cashier window and support of the business office team. This position reports to the Business Office Manager at Otterbein SeniorLife Lebanon. This position applies amounts owed to the company by customers or clients.

Responsibilities

  • Excellent verbal and written communication skills.
  • Interact positively with residents, family members, personnel, and visitors under a variety of conditions and circumstances.
  • Enter invoices and check requests.
  • Communicate regularly with both internal and external customers and vendors through various channels to answer questions, research problems and gather necessary information.
  • Identify/answer questions on invoices or payments at any point of work flow.
  • Review statements monthly; research and resolve discrepancies.
  • Establish new vendor set-ups, e.g. W-9, sales tax exemption, addresses, and multiple remit to addresses.
  • Independent Living Support Services monthly billing, payments and collections.
  • Process daily cash out with cashier's office and daily payment posting.
  • Backup to Cashier's office.
  • Assist with managing resident fund accounts.
  • Maintains residents' rights and confidentiality.
  • Strong attention to detail and accuracy.
  • Ability to work independently on assigned duties.
  • Demonstrates an ability to manage a variety of priorities while meeting deadlines.
  • Professional manner and strong ethical code.
  • Ability to multitask and remain motivated and positive.
  • Trustworthy, efficient, and organized.

Qualifications

Education: At minimum, a High School Diploma or GED. Associates degree in Accounting, Bookkeeping, Finance, or similar field preferred. An equivalent combination of education, training, and experience can be substituted.

Experience: Experience in an Accounting setting or Business Office. Experience in Accounts Payable; at least 3 year of recent experience in AP processing a high volume of invoices. Strong data entry skills. Adapt at working with multiple software packages including Microsoft Word, Excel, Microsoft, Point Click Care, Carefficient, Dynamics/Great Plains and BI360. Ability to organize work flows with multiple inputs and outputs. Able to multi-task and juggle multiple priorities. Excellent communication skills. Strict attention to detail. Credit card reporting, receipt tracking and auditing.
