The Pre-Construction Administrator is responsible for providing administrative support to the Pre-Construction Department as well as managing internal and external correspondence related to the preparation of estimates. Duties include managing documentation, coordinating schedules, assisting in budget preparation, and facilitating communication among project stakeholders. This role ensures that all administrative tasks are completed efficiently and accurately, contributing to the successful launch of construction projects.

Requirements:
  • Monitor and manage incoming Estimating emails including invitations to bid, addenda, sub and vendor quotes and other inquiries making sure the estimator has the most up-to-date information to consider when preparing the bids.
  • Set up Estimating folders, print and organize bid documents.
  • Facilitate communication for the preconstruction department, ensuring clear and timely information flow between internal and external stakeholders.
  • Set up estimate in software, upload bid documents, and populate link in software for Estimator’s use in RFQs
  • Track all bids, update the status in software and prepare weekly bid schedules.
  • Maintain Estimate files and assist with organizing all pertinent information for project turnover meetings.
  • Complete pre-qualifications and bid forms as assigned.
  • Prepare third party approval forms for all newly awarded projects.
  • Facilitate reviews of contracts and insurance documents.
  • Serve as a liaison between project managers, architects, engineers, clients, and other stakeholders to facilitate smooth communication.
  • Order bid bonds
  • Maintain DBE/SBE status of subs and vendors in software
  • Maintain/Update Business License fee schedule in software
  • Maintain SOPs for the Pre-Construction Department
  • Additional tasks associated with administrative needs of the department are also expected such as answering phones, greeting guests, and organizing staff meetings.
  • Other responsibilities as assigned by management.

Education and Experience

  • High School diploma required; college degree preferred.
  • One to three years related experience preferred. Working knowledge of office protocol is necessary, to include computer literacy
  • Excellent written and verbal communication skills
