Job Summary: Serves as the Philanthropy Project Manager for Naples Botanical Garden. This position manages significant activities, donor relations, and fundraising efforts, critical to the success of meeting the Garden’s annual operating budget. The position will collaborate with the Director of Development to manage the Sustaining Leadership Council (SLC) and provide project management of Hats in the Garden, the Garden’s premier annual fundraiser. This is not a hybrid position.


Among the duties assigned to this position are the following:



Requirements:

Primary Duties and Responsibilities:

Leadership Duties:

  • Creates annual plan for Hats and SLC, including event budget (both revenue and expenses).
  • Independently and actively manages Hats and SLC budget, course-correcting when necessary.
  • Independently drafts all Hats program-related content and collateral.
  • Directly manages Hats Event Producer (outside consultant), and all tasks assigned to the Event Producer, including project management and timeline management of event.
  • Independently drafts and manages Hats staffing and volunteer assignments, working across departments to obtain approval of assignments.
  • Project manages and collaborates with the Marketing and Communication team to schedule and execute mailed and electronic communications sent to the SLC and Hats attendees.
  • Independently creates and manages annual plan for Hats sponsorships and solicitations.
  • Supports SLC sub-committees and manages their projects.

Administrative/Core Duties:

  • Independently records Raiser’s Edge entry of all SLC and Hats related donor activity.
  • Collaborates with Development Operations (DOD) in coordination of Hats gifts and reservations into CRM.
  • Independently manages the creation, production, and delivery of all SLC renewals and new member acquisitions.
  • Independently manages the Sustaining Leadership Council’s communications, events, and meetings, incorporating committee involvement as appropriate.
  • Develops agenda and minutes for Hats and SLC related meetings and activities as needed.
  • Utilizes Sage to pull accurate and timely financial reporting of Hats and SLC revenue and expenses to present to Director of Development.
  • Provides support to SLC members during the Hats event; manages group photo shoot.
  • Independently works with a professional travel agency to plan and orchestrate an annual SLC group trip.
  • Independently manages production and project management of other Major Giving events and projects as requested by Director of Development.

Requirements/Qualifications:

  • A bachelor’s degree is preferred with five years minimum experience in development-related event and donor management.
  • Adherence to donor and volunteer confidentiality policies.
  • Strong interpersonal skills to work well with diverse teams and build relationships within the organization.
  • Ability to work individually, with little or no supervision.
  • Initiative-taking, adaptable, and open to innovative ideas.
  • Attention to detail for tasks such as data entry, scheduling, and document preparation.
  • Strong formal writing skills.
  • Demonstrates the ability to deliver high-level, concierge/customer service.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software. Familiarity with office equipment and administrative processes.
  • Excellent organizational and time-management skills to handle multiple tasks and prioritize effectively.
  • Obtain RE NXT Fundamentals certification within 90 days of hire. Training provided.
  • Basic understanding of Raiser’s Edge, or similar constituent management tool (additional training will be provided).
  • Must possess a valid driver’s license.
  • Normal work hours are Monday-Friday during business hours; must have a flexible schedule to include evenings and weekends as donor events and activities dictate.
