Job Summary
The Construction Coordinator will serve as the go-to person, providing essential administrative support to the Construction team while managing a wide portfolio of complex responsibilities. We are seeking a highly motivated and detail-oriented individual who is passionate about the construction industry, eager to learn, and ready to take on leadership responsibilities. In this role, you will be hyper-organized, deadline-driven, proactive, and operate with a sense of urgency, thriving in a fast-paced environment where you can effectively manage workload and expectations. As a Construction Coordinator, you will play a critical role in the planning, coordination, and execution of tenant improvement projects, working closely with clients, landlords, and internal teams to ensure projects are completed on time, within budget, and to the highest quality standards. The ideal candidate will bring high standards to managing complex administrative projects and will be instrumental in ensuring the success of our construction initiatives.
Essential Duties and Responsibilities
· Project Coordination: Assist in the planning, scheduling, and coordination of construction activities to ensure timely project completion.
· Client and Landlord Interaction: Act as the primary point of contact for clients, addressing their needs and concerns and ensuring their satisfaction throughout the project lifecycle. Work directly with landlords to obtain necessary approvals and buy-in for tenant improvement projects and ensure compliance with building codes and lease agreements.
· Vendor and Subcontractor Management: Coordinate with subcontractors, suppliers, and vendors to ensure timely delivery of materials and services that meet project specifications. Respond to payment inquiries from subcontractors and vendors as needed.
· Document Control: Maintain and monitor project documentation, including contracts, permits, change orders, and plan revisions. As required, distribute updated documents to field teams, subcontractors, and project teams.
· Budget and Contract Management: Review, document, and manage client contract terms to ensure adherence and mitigate liability. Assist in tracking project budgets, identifying cost-saving opportunities, and securing/releasing purchase orders for materials and finishes as directed by the Project Manager (PM).
· Quality Control and Compliance: Monitor construction progress, and ensure all work meets or exceeds industry standards and company expectations. Track responses to RFIs, change orders, and submittals to support project schedules.
· Project Reporting and Documentation: Support preparing project-specific and program-specific reports as required by contract, client, or internal teams. This includes weekly client reports, project schedule updates, and maintaining comprehensive project updates in the online project management system (OPM).
· Closeout and Training: Coordinate the timely closeout of projects, ensuring all documentation and final deliverables are completed. Provide client-specific training and direction as needed.
· Meetings and Communication: Attend program and project meetings, maintain meeting notes, and track team deliverables. Ensure effective communication and follow-up on action items.
· Leadership and Problem Solving: Participate in leadership training and mentorship programs to develop management skills. Proactively identify potential issues and collaborate with the project team to implement effective solutions.

Education & Experience
- Bachelor’s degree in construction management, engineering, or a related field is preferred but not required.
- Two (2) years of experience in construction coordination, project management, or providing complex administrative support in the construction industry.
- Strong knowledge of construction processes, procedures, materials, and building codes.
- Relevant certifications in Construction Management or related fields are a plus.
- Strong client service orientation with a willingness to learn and a proactive, "do whatever it takes" attitude.
- Excellent organizational skills, with the ability to prioritize tasks, manage multiple projects, and meet deadlines in a fast-paced environment.
- Exceptional verbal and written communication skills, coupled with strong interpersonal skills and a customer-focused approach.
- Self-motivated with excellent analytical skills and a creative approach to problem-solving.
- Strong attention to detail and a high standard of work in managing complex administrative projects.
- Ability to work independently as well as collaboratively within a team.
- Proficiency in Microsoft Office Suite, including Outlook, with experience in project management software.
- Basic knowledge of construction is preferred but not required.
- Strong multitasking ability and the perseverance to see tasks through to completion.
