Position Summary:

The Program Coordinator is the first point of contact for many families and is able to effectively promote and articulate the value of Encompass’ programs. They are responsible for assessing family needs and provide appropriate information on specific funding programs available. The Program Coordinator maintains an open, friendly, professional relationship with all staff, partners and families. This individual is also responsible for administrative duties relating to the functioning of agency programs.


Essential Functions:

1. Serves as first point of contact for prospective families interested in enrollment at all Encompass locations.

2. Maintains regular contact with families throughout the enrollment process to promote partnerships and regular communication via many communication avenues.

3. Assesses if family may be eligible for multiple funding sources and provides necessary guidance to apply for funding sources.

4. Manages the enrollment process for all organization locations.

5. Establishes and maintains waitlist for the organization to facilitate the filling of vacancies as they occur.

6. Point person for community organization partnerships, finding respite care spaces for referred families and monitoring usage.

7. Clearly articulates Encompass curriculum/programming, tuition programs and Encompass mission to inquiring individuals.

8. Partners with Center Directors, Regional Directors, and Associate Executive Director to ensure programs have resources needed to operate effectively.

9. Develops and actively maintains positive, effective communications with families, community partners and staff.

10. Serves as administrative support for programs across agency.

Education/Experience:

· High school diploma or equivalent required

· At least 1-2 years of experience within business or office setting

· Early education experience a plus

· Strong working knowledge of Microsoft Office programs

· Organization skills

· Strong attention to detail

· Demonstrated organizational skills, including accuracy and attention to detail

· Exhibits agency values in daily work and demonstrates commitment to agency mission
