We are seeking a highly organized and detail-oriented Legal Document Processing and Training Specialist to join our dynamic legal team. This role is crucial in ensuring accuracy and efficiency in handling legal documents, as well as developing and delivering training programs to enhance the skills of our legal staff.

Key Responsibilities:

Legal Document Processing:

  • Process and manage legal documents, including contracts, agreements, court filings, and other legal correspondence.
  • Ensure all documents comply with legal requirements and company policies.
  • Maintain accurate records and documentation of all processed materials.
  • Coordinate with legal teams to prioritize and manage document workflow effectively.
  • Assist with document conversion and clean-up; Create and revise complex legal documents adhering to firm styles and guidelines. This often involves troubleshooting and repairing problem documents.
  • Creates, formats, revises, produces, and prints complex legal documents according to specific jurisdictional and client requirements (i.e., Excel spreadsheets, charts, diagrams, PowerPoint presentations, data room sites, etc.) that require advanced software skills.
  • Facilitate the creation and editing of Tables of Authorities, Tables of Contents, paragraph numbering, references, foot notes, tables, diagrams, etc.
  • Document Preparation and Management: Prepare, format, and edit various legal documents, including contracts, briefs, pleadings, and reports.
  • Prepare document comparisons.
  • Formatting and Conversion: Convert documents from various software to standardize formatting and clean documents to maintain firm standards.
  • Revision Handling: Manage document revisions, track changes meticulously, and ensure all changes are accurately documented.
  • Compliance and Standards: Ensure all documents adhere to firm standards as well as local, state, and federal court requirements.
  • Collaboration: Work closely with attorneys and legal staff to ensure document clarity, accuracy, and confidentiality.
  • Multimedia Document Preparation: Prepare presentations in PowerPoint, manage data in Excel spreadsheets, and create/edit PDFs using Adobe Acrobat Pro.

Training Development and Delivery:

  • Develop training materials and modules related to legal document processing, existing firm systems, compliance, and best practice at the enterprise, office, practice group and individual level.
  • Conduct new hire orientation training on firm systems, and continual training sessions for legal staff to improve their proficiency in document handling and management.
  • Evaluate training effectiveness and make improvements as needed.
  • Stay updated with industry trends and regulatory changes to incorporate into training programs.
  • Participate in the review, customization, testing, and implementation of new firm applications and product upgrades; develop associated training and documentation.
  • Create e-learning courses available on demand for employees.
  • Assist HelpDesk as needed.

Qualifications:

  • Bachelor’s degree in legal studies, Business Administration, or related field. (Advanced degree or certification in Legal Studies is a plus.)
  • Proven experience (3-5 years) in legal document processing, preferably within a law firm or corporate legal department.
  • Strong understanding of document formatting.
  • Excellent organizational skills with the ability to prioritize tasks and manage time effectively.
  • Advanced Proficiency in document management software and MS Office Suite (Word, Excel, Outlook, PowerPoint).
  • Effective communication skills, both written and verbal, with the ability to deliver engaging training sessions.
  • Strong public speaking and presentation skills.
  • Ability to engage and connect with diverse audiences.
  • Detail-oriented mindset with a focus on accuracy and quality assurance.
