Ocean Park Mechanical (OPM) is one of the premier design-build mechanical contractors of Western USA and Western Canada, with operations in Washington, Oregon, California, and British Columbia. With projects ranging from low-rise and high-rise residential, hotels, and offices, as well as industrial and commercial projects, we have continually proven our ability and desire to provide the best service possible for our clients. By providing the majority of mechanical requirements in-house, including engineering, 3D-design, sheet metal, HVAC, refrigeration, and controls, we are a “ONE-STOP” shop for any project.

Purpose of Position:
The Project Coordinator will provide support to the Project Manager for the overall management of projects, acting as a liaison between them and various technical disciplines engaged on the project. They will also provide support to the service personnel coordinating service requests and all necessary documentation required including quotes, work orders, purchase orders, timecards and tracking.

Job Location: Irvine, CA. This is an in-office position.

Reporting Structure:
The Project Coordinator reports directly to the Project Manager and the Regional Manager

Primary Responsibilities:
  • Responsible for oversight of one or more projects/teams or large complex projects
  • Receive and coordinate service requests
  • Prepare quotes based on technician problem reports
  • Create work orders, purchase orders, and secure equipment when job has been approved, track materials until ready for pick up
  • Establish a project guideline for each approved project that defines the goals, objectives, risks, assumptions, staffing levels, roles and responsibilities, work breakdown structure, milestones and deliverables
  • Update filters list, order monthly filters, and receive filter invoices
  • Coordinate sub-trades and deliveries
  • Reconcile invoices
  • Follow up with unapproved quotes
  • Track correspondence with suppliers and customers and provide follow up with
  • Create new service contract proposals, contracts, and invoicing of contract
  • Work with all suppliers to ensure quality and cost control
  • Oversee and monitor all trade contractor change orders and owner-driven changes
  • Monitor labor hours and job progress and cost
  • Oversee and distribute project documents where required (RFI’s, procurement, change logs, submittal schedules, POs, etc.)
  • Ensuring applications are submitted for required permits
  • Evaluate manpower efficiency and make adjustments if required
  • Manage completion requests for occupancy/close out and create owner manual
  • Act as a liaison between the general contractor(s) and the sub-trades
  • Resolve conflicts between OPM employees, general contractor, and sub trades
  • Ensure client satisfaction throughout the life cycle of the project
Experience, Education & Qualifications:
  • 3-5 years of experience in Plumbing/HVAC field, Coordination
  • Jobsite experience would be considered an asset
  • Ability to interpret blueprints, specifications, inspection reports, etc.
  • Significant knowledge of construction methods as well as an understanding of municipalities and the permit processes
  • Attention to detail and problem-solving skills.
  • Strong communication and collaboration skills
  • Skilled negotiator with the ability to track change orders with both owners and subcontractors
  • Ability to ensure accurate completion of project scope
  • Meets sensitive deadlines on a consistent basis
  • Ability to manage multiple projects and tasks at a time
  • Sound knowledge of Building Code and Safety Regulations
  • Strong knowledge of MS Office suite including MS Excel, and MS Project
  • Knowledge of Viewpoint Spectrum ERP an asset
  • Knowledge of Bluebeam an asset
