Administrative Assistant to the Customer Application Manager 


Zerova Technologies, a subsidiary of Phihong USA, is a dynamic and rapidly growing EVSE (Electric Vehicle Supply Equipment) startup. We are revolutionizing the EVSE landscape with innovative solutions and disruptive technology.


The Administrative Assistant should have the ability to work independently on projects from conception to completion, work with poise under pressure and handle a wide variety of activities and confidential matters with discretion.


Responsibilities:


  1. Inventory Management: recording quantity changes of spare parts inventory
  2. Assisting with Shipments: documenting shipping quantity, collecting FedEx shipment information, and tracking outgoing and returning shipments
  3. Organizing and updating weekly FAE/ RMA cost excel sheet
  4. SAP data input for spare parts  
  5. Monitoring trouble tickets to ensure all tickets are accepted and replied to by the team in a timely manner
  6. Customer Service: basic phone and/or email interactions, taking messages, and reporting customer issues to the team


Communication/Coordination:


  • Develop a strong partnership with and understanding of the work of the department manager and be an engaged and supportive member of the team
  • Provide a bridge for smooth communication and coordination between the managers, direct reports, and prospective and current clients
  • Display a high degree of discretion with sophisticated ability to recognize and handle sensitive and highly confidential information in an appropriate and compliant manner.


Schedule/Calendar Management/Travel:


  • Arrange meetings and other contacts (external and internal) between clients, Zerova’s leadership and Zerova’s team members.
  • Provide meeting logistics support including coordinating conference calls and Microsoft Team’s meetings, catering services, and other reservations as needed.
  • Coordinate business travel arrangements, including booking of accommodation, flights, car services, etc.
  • Handle time and expense reporting, and process reimbursements


Qualifications:


  • Education: Bachelor's degree required
  • Experience: 2 years of high-level support experience is ideal, preferably with a background in a Engineering
  • Experience with Adobe Creative Suite (Photoshop, InDesign, Illustrator) a plus
  • Previous experience in organizations with global presence preferred.
  • Technical savvy is key - intermediate to advanced computer skills required in MS Word, Excel, PowerPoint and Outlook.
  • Advanced Excel skills preferred plus a demonstrated ability to assess, research and enjoy resolving information technology challenges.

  • Strong writing and editing skills.
  • Flexibility in adjusting work schedule on occasion and willing to work overtime as needed.

This is a fully onsite position located in Fremont, CA; Monday- Friday from 10 am to 7 pm.
