TITLE: Transportation Permit Associate CLASSIFICATION: Hourly

DEPARTMENT: Customer Service REPORTS TO: Shipping Manager



Basic Function and Responsibilities

The Transportation Administrative Assistant provides essential administrative support to the transportation department, ensuring efficient operations and smooth communication between drivers, clients, and internal teams. This role involves handling documentation, coordinating schedules, and assisting with various administrative tasks to support the daily operations of the trucking business.

Documentation and Record-Keeping:

  • Prepare and maintain accurate records of transportation activities, including delivery schedules, driver logs, and cargo manifests.
  • Process and file transportation documents such as bills of lading, delivery receipts, and compliance forms.

Scheduling and Coordination:

  • Assist in scheduling and dispatching trucks and drivers to ensure timely and efficient deliveries.
  • Coordinate with drivers to confirm delivery times, routes, and any special instructions.
  • Handle rescheduling and route adjustments as needed.

Customer Service:

  • Serve as a point of contact for clients, addressing inquiries, providing updates, and resolving any issues related to transportation services.
  • Communicate with customers to confirm delivery details and address any concerns.

Compliance and Regulations:

  • Ensure that all transportation activities comply with federal, state, and local regulations.
  • Monitor and track compliance with safety regulations and maintain records for audits.

Administrative Support:

  • Perform general office tasks such as answering phones, managing emails, and handling correspondence.
  • Prepare reports and presentations related to transportation performance and metrics.
  • Assist with billing and invoicing processes, ensuring accuracy and timely processing.

Coordination with Internal Teams:

  • Work closely with the logistics, operations, and accounting departments to ensure alignment and effective communication.
  • Support the recruitment and onboarding of new drivers and staff as needed.

Qualifications

  • High school diploma or equivalent; associate degree or vocational training in logistics or business administration preferred.
  • Proven experience in an administrative support role, preferably within the transportation or logistics industry.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with transportation management software is a plus.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Knowledge of transportation regulations and compliance is an advantage.

Work Environment and Physical Demands

  • Occasional lifting or carrying of office supplies and documents.
  • Office setting with occasional site visits or fieldwork
  • Standard working hours with possible overtime during peak periods or special projects
  • Ability to sit for extended periods, use a computer, and handle paperwork
