Who We Want

The Event Producer will play a critical role in planning, coordinating, and executing a variety of events for Carson Group, Carson Wealth, and Carson Coaching. This position involves collaborating with the lead event producer to create timelines and manage cross-departmental tasks, sourcing and securing venues, and coordinating all logistical elements of events. The Event Producer will also lead Home Office Visits (HOV) and partner appreciation incentive trips, working closely with the sales team to provide seamless and memorable experiences for prospects and partners. Additionally, the role includes handling administrative duties, managing facilities and inventory for HQ events, and ensuring clear communication with all stakeholders. The Event Producer must be willing to travel and work flexible hours to meet event demands, contributing to the overall success of the events and maintaining high standards for attendee satisfaction and engagement.

What To Expect

  • Collaborate with the lead event producer to create timelines and manage cross-departmental tasks.
  • Source properties and venues for regional events—typically at higher-end hotels, clubs, and restaurants—or in conjunction with an industry conference. Ensure selected properties meet specifications and budget requirements
  • Coordinate all elements of each event, including:
    • Clear, timely communication to attendees
    • Managing attendee items such as name badges, table tents and swag
    • Hotel and transportation arrangements
    • Arrangements for internal and external speakers, ensuring all are prepped for a successful experience
    • Room setup
    • Production, A/V, and technology needs
    • Food and beverage service
  • Lead producer for Home Office Visits, coordinating with the sales team to host prospects at the office.
  • Plan and execute visit itineraries, including transportation, catering, meetings with key personnel, and presentations.
  • Ensure a seamless and welcoming experience for all visitors, highlighting the value and culture of Carson Group.
  • Plan and execute partner appreciation incentive trips to recognize and reward key partners.
  • Coordinate all trip logistics, including travel, accommodations, activities, and special events.
  • Work closely with partners to customize experiences that align with their preferences and interests, ensuring a memorable and engaging trip.
  • Assist with administrative duties related to events, including registration coordination, event attendance tracking, pulling reports, printing and assembling materials, and follow-up communication after events.
  • Field customer service emails regarding general event information and registration.
  • Assist the Senior Event Producer, HQ Events, with leading tours of meeting and event spaces to outside organizations and effectively communicate corporate rental guidelines.
  • Manage facilities and inventory for HQ events.
  • Willingness to travel for trips lasting one to three days or as business needs dictate.
  • Ability to work some evenings for events.
  • Perform other duties as assigned by the Director of Events.

What You Need

  • Proven experience in planning and executing large-scale events, including trade shows, conferences, and corporate events.
  • Proficiency with event management software, particularly Cvent, GoToWebinar, and Zoom.
  • Strong ability to manage multiple tasks and projects simultaneously, ensuring deadlines are met and details are meticulously handled.
  • Excellent verbal and written communication skills, with the ability to effectively communicate with stakeholders, team members, and attendees.
  • Ability to deliver clear and concise instructions and information.
  • Demonstrated ability to provide exceptional customer service, addressing and resolving issues promptly and professionally.
  • Adept at using various digital tools and platforms like Cvent.
  • Comfortable with A/V equipment and technology needs for in-person events.
  • Strong problem-solving abilities, with a proactive approach to identifying and addressing potential issues before they arise.
  • Experience working collaboratively with cross-functional teams, including sales, marketing, and other departments.
  • Ability to build and maintain positive working relationships.
  • Willingness to travel and work outside normal business hours as required by event schedules.
  • Adaptability to changing circumstances and priorities in a fast-paced environment.
  • Bachelor’s degree in Event Management, Hospitality, Marketing, Business Administration or related field.
  • At least 2 – 3 years of experience in event planning or coordination, with a focus on corporate events.
