Who We Want

The Event Producer, Trade Shows will report to and support the Director, Events at Carson Group. This role is ideal for individuals who thrive in a dynamic, high-stakes environment and are passionate about executing a sophisticated event marketing strategy that showcases the excellence of Carson Group while driving business outcomes. The Event Coordinator will be instrumental in managing all facets of trade show execution including project management, logistics, vendor and sponsorship relationships, and coordination with key stakeholders within the company.

What To Expect

  • Project Management: Oversee and coordinate all trade show elements such as layout planning, attendee flow, and detailed scheduling. Ensure each event is executed flawlessly to reflect Carson Group’s •
  • Sponsorship Relationships: Manage and cultivate relationships with event sponsors, ensuring their needs are met and they are effectively integrated into event planning and execution.
  • Speaking Engagements: Arrange and coordinate speaking engagements for Carson SMEs (Subject Matter Experts) and executives, ensuring they are well-prepared and their sessions align with overall event objectives.
  • Conference Support: Assist in all aspects of conference participation from pre-event planning to on-site execution, including A/V and technology setup, food and beverage service, and hotel and travel management.
  • Travel Management: Organize travel arrangements for staff attending trade shows, including flight bookings, accommodations, and local transportation, ensuring a smooth and efficient travel experience.
  • Collaboration with Director, Events: Work closely with the Director, Events to align on strategy and execution details, and assist with additional tasks as needed.
  • Event Logistics: Support the event team in managing logistics such as shipping materials, managing attendee registration, and coordinating food and beverage services.
  • Administrative Support: Handle administrative tasks related to events including registration coordination, attendance tracking, material preparation, and post-event follow-ups.
  • Event Setup and Tear Down: Coordinate and execute the setup and teardown of events, which may require working outside of normal business hours.

What You Need

  • Proven experience in event coordination, preferably in a corporate or large-scale trade show setting.
  • Strong project management skills with the ability to manage multiple tasks efficiently and meet deadlines.
  • Excellent communication and interpersonal skills, capable of working effectively with team members, executives and external partners.
  • High attention to detail and commitment to delivering high-quality work.
  • Flexibility to handle the dynamic demands of event management and problem-solving under pressure.
  • Experience with event technology (Cvent, OnArrival, etc).
  • Ability to travel up to 25%
  • Bachelor’s degree in Event Management, Hospitality, Administration or related field.
  • At least 2 – 3 years of experience in event planning or coordination, with a focus on trade shows and corporate events.
