Job Description

The Area Service Manager and Maintenance Coordinator are lead support roles for the designated portfolio. They support the Maintenance Professionals and the General Manager. This hybrid role functions as an Area Service Manager and Maintenance Coordinator for Fenestra at Rockville Town Square. They are responsible for executing the Company’s maintenance program, overseeing maintenance and construction programs, and supporting property operations to create efficiencies and utilize the full potential of the maintenance staff.

Qualifications

DUTIES AND RESPONSIBILITIES

Maintenance Program Management

  • Develop, plan, organize, control, implement, and facilitate all aspects of maintenance throughout the assigned portfolio.
  • Oversee and assist with capital projects and budget preparation.
  • Develop and monitor preventative maintenance schedules and inspections.
  • Coordinate and assign work orders, make-readies, perform preventative maintenance, and other management responsibilities.
  • Ensure maintenance work orders are entered and completed for Residential and Retail Tenants.
     

Team Support and Training

  • Train, coach, and guide the Residential Service Team, Community Managers, and Regional/District Managers to meet performance goals.
  • Assist with recruiting and building a proactive maintenance team.
  • Assist in training and onboarding new Lead Service Technicians and developing all maintenance personnel within the assigned portfolio.
  • Provide support and guidance to maintenance staff, fostering a positive team environment.
     

Procurement and Vendor Management

  • Lead the procurement process by developing scopes of work, locating qualified contractors, analyzing received bids, and recommending bid awards.
  • Manage maintenance supplies inventory and place orders as necessary.
  • Liaise with vendors and contractors to coordinate the execution of service agreements, ensure insurance requirements are met, and assist with vendor setup and processing.
  • Maintain vendor contracts and manage vendor relationships.
     

Administrative and Reporting

  • Provide general administrative support to the Maintenance department, including managing calendars, expense reports, and other duties as assigned.
  • Review Make Ready and Inspection Reports and distribute them to relevant managers.
  • Ensure all building licenses, certificates, and inspection programs are current, including scheduling and coordinating required repairs.
  • Manage the PO Process and handle PO exceptions within Yardi for Maintenance Purchases.
  • Coordinate with finance personnel to ensure accurate financial reporting and adherence to budgetary constraints.
  • Maintain accurate records of maintenance activities, including work orders, service contracts, and equipment/supply inventories.
     

Communication and Coordination

  • Act as the primary point of contact for Residential and Retail Leaseholders to increase Resident Satisfaction.
  • Follow up on work orders and move-in inspections and ensure communication regarding maintenance projects, alarm testing, utility shut-offs, etc.
  • Conduct weekly work order review meetings with the General Manager—Mixed Use and Chief Engineer, providing updated reports to relevant managers.
  • Coordinate with Property Coordinator – Mixed Use on retail billbacks.
  • Assist the Director of Maintenance in disaster response and management within the region and throughout the US portfolio.
     

Compliance and Safety

  • Ensure the region follows all company guidelines per safety, policies and procedures, procurement, and other company-wide policies.
  • Monitor and assist with various portfolio-wide initiatives, including environmental incidents, asset tracking logs, code compliance, procurement assistance, vendor management, and other initiatives as assigned.

Requirements

  • Five (5+) years of project or property management experience, with a minimum of three (3) years of supervisory experience.
  • Multifamily, mixed-use, or commercial facilities management experience is strongly preferred.
  • Familiarity with federal, state, and local Fair Housing laws.
  • Moderate travel may be required
  • Strong mechanical knowledge in plumbing, electrical, HVAC, and other construction trades is preferred.
  • A college degree in construction management, business, or engineering is preferred.
  • Proficiency in Microsoft Office suite is necessary.
  • Experience in Yardi Voyager and Entrata is required.
