Job DescriptionJob Description

Summary: Coordinate all aspects of packaging equipment tooling and machine orders for the entire project life cycle. Keeps projects on track by applying coordination skills and technical product knowledge, utilizing your initiative and interpersonal skills, exercising good judgement, tracking details and following PMO and HUP processes (Project Management Playbook). Projects consist of tooling orders, inventory machines and customer machine orders, and will range in value from $10K - $500K. Also provides technical administrative support for the Mondini Product Management team (20%).

Time Utilization: Normal business hours are 8:30am to 5:00pm. Schedule needs to be flexible to accommodate project meetings, installations, and customer schedules. This position will start as an in-office position, but may grow to include domestic and international travel up to 10% of time. This is a hybrid position with three days on site and 2 days remote after initial training.

Essential Duties and Responsibilities (other duties may be assigned):

  • Coordinate each of the phases of packaging equipment tooling and machine orders including definition, engineering, verification, transportation, installation, and closure. Track information and materials flows. Administer orders through the entire project life-cycle from ensuring client and project success.
  • Primary point of contact with the customer for project communications. Liaise with supplier in Italy and internal employees involved in the project (e.g., sales, product managers, technical service etc.). Diplomacy exercised in cultural differences between teams in North America and Europe.
  • Coordinate for the resolution of a range of mechanical, electrical, controls, packaging and/or safety technical questions that may arise during project execution and testing. You are not expected to be the expert. Instead, you will coordinate with HUP and supplier subject matter experts to resolve concerns.
  • Coordinate for project kick-off and engineering review meetings with customers, HUP personnel and vendors.
  • Assist the Mondini Product Management team to prepare and review purchase orders for tooling and machine orders (20%)
  • Lead job meeting every three weeks to keep all parties apprised of pertinent job information. Ensure project records are kept up to date in FileMaker.
  • Develop project plans and timelines, incorporating equipment lead times into project timeline, and determine potential risks.
  • Coordinate for procurement of equipment, and any changes, throughout the project life cycle.
  • Work with management to ensure sufficient resources are estimated and allocated to HUP efforts associated with each project.
  • Coordinate with team members for timely completion of assigned tasks/responsibilities.
  • Ensure quality (HUP and customer specifications are met), on-time delivery and expenses are on-budget.
  • Maintain alignment between customer requirements, machine capabilities and equipment ordered.
  • Coordinates for Factory Acceptance Tests (FATs), which are usually virtual, but the Project Coordinator could possibly be requested to attend FATs at our vendor in Italy.
  • Tracks shipment and coordinates to ensure successful installation and start-up.
  • May visit customer sites to coordinate during installation, witness Site Acceptance Testing (SAT) and resolve issues.
  • Transition the project to Technical Support.
  • Contribute actively to project management process development.
  • Stay current on new equipment technologies for Mondini product line.
  • Maintain confidentiality of critical or competitive information.

Qualifications:

  • Ability to multi-task proficiently to be able to track multiple projects.
  • Owns every aspect of the relationship with the client for his/her projects. Satisfies customers. Sets the stage for repeat business.
  • Anticipates and helps resolve issues.

Education/Experience:

  • Associate degree preferred in engineering, project management, science, management, or equivalent experience. Bachelor’s degree is a plus.
  • One to two years of project coordination/administration/management experience and/or technical experience preferred but not required.
  • An equivalent combination of education and experience.
