Construction Administrative Assistant 


We are seeking an experienced Construction Administrative Assistant. This role primarily involves assistance with Project Management and Field Operations.  To perform this job successfully, an individual must be able to complete all areas outlined for this position in a satisfactory manner. Reports to Vice President/HR Manager, and President


Duties and Responsibilities

 

  • Uploads documents and plans
  • Prepares Notice of Commencement and records with proper governmental agency
  • Prepares and submits revisions and resolves corrections promptly
  • Ordering, picking up, and distributing blueprints
  • Coordinates between Engineers, Developers and Architectural Services any comments relative to the permit process to ensure comments are being addressed and delivered to appropriate agencies. Coordinate submissions of architecture and follow-up on all comments to enable product to get certified
  • Coordinates gathering of documentation for master building plans, surveys, site plans, well/septic, energy calculations, trusses, preparing packages for delivery to required agencies
  • Ensures alignment of lot attributes and home plan/model, (ie: utility pole locations), order utilities (water, power, septic)
  • Coordinate and follow-up with the set-up of utilities as needed
  • Reads and interprets specifications and plans to determine construction requirements and plan procedures
  • Meets with subcontractors to ensure satisfactory job progress
  • Orders and maintains project samples
  • Maintains and distributes weekly progress reports for all Project Managers and Superintendents
  • Supports and assists Project Managers and Superintendents in project logs and photography documentation and maintains files as needed
  • Filing of all generated work and archiving files after project completion
  • Prepares procedure manuals for training purposes
  • Maintains a complete list of all jobs and status updates for distribution weekly
  • Collects all warranties from subcontractors and use to complete warranty book for client
  • Proficient in creating schedules and all aspects of software
  • Support duties related to Project Managers and Superintendents
  • Attends meetings as required, takes notes, and prepares draft notes
  • Confirms meeting attendance
  • Prepares conference room for meetings
  • Follows office policies and procedures as outlined
  • Reports issues, oversights, and concerns to the HR Manager
  • Assists with phone calls and takes and deliver messages
  • Welcomes clients and visitors to the office as necessary
  • Performs duties not otherwise stated above as directed

Experience and Education


  • Minimum of 5 years’ experience in an administrative role in the construction industry
  • High School Diploma or equivalent
  • Computer skills, including Microsoft Office, Project, Adobe, Bluebeam, Buildertrend, and/or Procore
