Clinic Operations Project Manager - IntraCare

Key Responsibilities

  • Apply clinic operations knowledge to support and enhance project work, ensuring alignment with company goals.
  • Oversee and manage projects related to clinics, including new initiatives, process improvements, and operational changes.
  • Coordinate with clinic teams, vendors, and external partners to ensure successful project execution and integration.
  • Develop and manage project schedules for clinics, assign tasks, and ensure timely completion of milestones.
  • Report on project progress, anticipate and mitigate risks, and escalate issues to leadership as needed.
  • Coordinate with vendors and external parties to drive project and program success.
  • Communicate project details, updates, and issues to stakeholders bringing attention to high priority and urgent items.
  • Adapt project scope and timelines as needed, documenting changes and obtaining necessary approvals.
  • Develop and manage project schedules, assign tasks, and oversee completion, ensuring timely delivery.
  • Lead projects independently, collaborate with team members to set realistic timelines, and resolve barriers.
  • Produce detailed meeting notes, action items, and track their completion with high accountability.
  • Create and present project status reports and dashboards to diverse audiences, including clinic team members, providers, department leaders, and senior leadership.
  • Develop and promote project management best practices, tools, and processes for continuous improvement.
  • Establish and monitor project goals and success measures.
  • Complete ad hoc data requests and conduct relevant research as needed to support company goals.

Required Qualifications

  • Bachelor’s Degree: Preferred fields include Business Administration, Healthcare Management, Public Health, or a related field.
  • Project Management Experience: 3-5 years of experience in project management, with a proven track record of leading and delivering projects successfully.
  • Clinic Operations Experience: At least 1 year of experience working in or managing clinic operations, understanding the unique challenges and requirements of healthcare environments.
  • Project Management Skills: Ability to plan, execute, and close projects effectively, including scope management, scheduling, budgeting, and risk management.
  • Healthcare Knowledge: Understanding of clinic operations, healthcare regulations, and compliance requirements.
  • Analytical Skills: Strong ability to analyze data, identify trends, and make data-driven decisions to support project goals.
  • Communication Skills: Excellent verbal and written communication skills for interacting with diverse stakeholders, including clinic staff, leadership, and vendors.
  • Organizational Skills: Strong ability to manage multiple tasks, prioritize effectively, and maintain attention to detail.
  • Problem-Solving Skills: Capacity to identify issues quickly and develop practical solutions to keep projects on track.
  • Leadership and Team Management: Experience leading cross-functional teams, motivating team members, and managing stakeholder expectations.
  • Technical Proficiency: Familiarity with project management software (e.g., Microsoft Project, SmartSheets) and standard office applications (e.g., Microsoft Excel, Word, PowerPoint).
  • Change Management Skills: Ability to manage and support change within a clinic setting, ensuring smooth transitions and minimal disruption.
  • Cultural Competency: Ability to work effectively with diverse populations and understand cultural nuances in healthcare delivery.

Preferred Qualifications

  • Master’s Degree: Healthcare Administration (MHA), Business Administration (MBA), or Public Health (MPH).
  • Certifications: Project Management Professional (PMP), Lean Six Sigma
