The Position

GENERAL SUMMARY: The Administrative Assistant provides general administrative support. Responsible for purchasing and requisition functions; end of day and monthly bank reconciliation; manage petty cash funds and general accounting duties.

ESSENTIAL JOB FUNCTIONS:

  • Reconcile end of day paperwork batches to verify accuracy of receipts, adjustments and encounters.
  • Imports deposit batches from accounts receivable system to general ledger. Transports deposits to bank daily.
  • Manage petty cash funds and reconcile monthly.
  • Monthly reconciliation of credit card purchases.
  • Assist with monthly program financial reports for supervisors.
  • Assist in the performance of various accounting duties as needed.
  • Coordinate bid process for materials and equipment purchases.
  • Perform purchasing duties; write purchase orders and requisitions for supplies.
  • Communicate with staff and vendors regarding procedural requirements for the purpose of facilitating the purchasing process with established practices.
  • Inventory control of office supplies, equipment, and other supplies. Maintain, review and analyze inventory records.
  • Receive shipments of equipment and supplies; unpack supplies and stock shelves.
  • Tag office equipment as required for tracking, maintain records of equipment.
  • Order and distribute all vaccines.
  • Maintain purchasing documents, files and records for audit purposes.
  • Maintain online auction site to facilitate the disposition of surplus equipment.
  • Responsible for maintaining and filing confidential and business sensitive correspondence.
  • Provide data entry support and maintain complex electronic file systems.
  • Compose, proofread and/or edit documents, correspondence, policies, and contracts.
  • Provide administrative support for special projects.
  • Perform general office duties and other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES Ability to perform bookkeeping/accounting functions. Excellent writing skills, ability to compose letters, reports and legal documents in proper form. Strong computer skills, including accounting software, word processing, spreadsheet and data base application. Ability to plan work and establish operating needs in advance; ability to make decisions independently in accordance with established policies and procedures and to use initiative and judgment in carrying out tasks and responsibilities with general instructions and guidance. Good oral communications skills to explain policies and procedures and to interface with other employees, agencies and the general public using courtesy, tact and good judgment.

The Requirements & Selection Process

MINIMUM QUALIFICATIONS: High school or GED.

Experience: Previous experience of five years or more in administrative position; bookkeeping/accounting experience preferred. Must be fluent in computer usage, including accounting software, word processing, spreadsheet, and data base application.

Additional Requirements: Performance of job duties requires driving on a regular basis, a valid Washington State driver's license, the use of the incumbent's personal motor vehicle when a District fleet vehicle is not available for use, and proof of appropriate auto insurance.
