Job DescriptionJob DescriptionSalary: $27.00/hour

The primary function of the House Manager (Program Manager) is to fulfill program development and administrative responsibilities, coordinate behavior program planning and medications, coordinate all individual services, supervise program staff, manage program finances, and physical site, function as a liaison with families, neighbors, employers and government agencies.


Additionally, the House Manager will provide direct care to all residents with a primary focus on daily living skills and case management.


We have openings in Newton and Brookline. MUST have a valid driver's license with a clean driving record.


Duties and Responsibilities:


I. Financial Monitoring and Supervision

Teach budgeting skills to individuals according to their financial management-training plan.

Maintain contact with SSI/SSA and insure regular ongoing reporting of all necessary information, or assist guardian/ conservator in their reporting tasks.

Follow financial plans for individuals to maximize their independence.

Handle individual and house petty cash; obtain correct change and receipts for all purchases to include outing expenses and use of Tax-exempt ID for proper tax deduction.

Maintain personal financial records (daily cash on hand records, bankbooks, etc.) in accordance with the individual’s need for monitoring.

Maintain housing financial records and submit all requested financials in a timely manner.

Approve timesheets for all staff ensuring overtime is as limited as possible.

Maintain house budgets; must be fiscally responsible.


II. Medical

Maintain up to date DDS required medical and dental records, sending all reports to DDS and the individual’s day program.

Follow and train staff on all medical protocols and Doctor Orders; this may include seizure protocols, dietary restrictions, etc.

Arrange and attend all medical appointments; obtain necessary documentation.

Input all medical information and appointments into iCentrix and maintain iCentrix for accuracy. Responsible for updating HCR and other medical assessments in HCSIS.

Respond quickly and appropriately by protocol to all medical emergencies.

Accompany and advocate for residents at emergency room visits and urgent care centers as delegated by Supervisor.

Must have First Aid and CPR certification and update as needed.

Must have Medication Administration Certification (MAP) and update as needed.

Follow all MAP guidelines for all areas of Medication Administration.

Responsible for conducting daily MAP audits to ensure there are no MORs. Must participate in monthly MAP audits.

Responsible for calling in medication refills and obtaining medication as necessary.

Follow proper PPE guidance as instructed by the Nursing Director.

Follow through on all recommendations made by the Nursing Director and Nursing Supervisor.


III. Religious

Provide opportunities for meaningful, spiritually fulfilling religious activities for each individual according to his/her own religious preference and background.


IV. Individual Services:

Monitor all individual services within the program and train staff on all individual services.

Provide direct care services to the individuals in the program.

Serve as the Human Rights and/ or Fire Safety Officer, or designate a TIER 3 Residential Counselor; must provide supervision.

Develop and maintain data collection systems for each individual and ensure utilization of those systems with the Program Director.

Supervise the development of all individuals’ ISPs. Responsible for staff collecting data. Initiate and/ or attend internal/external individual ISP meetings. Ensure ISP goals and objectives are developed and implemented in accordance with Price Center and DDS guidelines.

Responsible for monitoring SteadyCare calls and holding staff accountable for making their calls.

Maintain program records. File and maintain individual record keeping systems.

Follow and train staff on all dietary protocols for each individual (nutrition, meal preparation, feeding support, table manners, etc.). Follow and train staff on all individual protocols for each individual, as applicable.

Participate in and implement day-to-day ISP objectives for each individual, as outlined in their ISP.

Write and submit regular monthly or quarterly progress notes and maintain all semi-annual records.

Responsible for training all staff on the implementation and individual training programs for each individual.

Provide support with lifting (two person physical lift and/ or manual via Hoyer lift); transferring individuals from bed into wheelchair or from wheelchair to bed maybe required.

Support program participants’ right to express their religious affiliations and cultural traditions through preferred and relevant activities. Support diversity of individuals served through respect of religious preferences and/or cultural backgrounds.


V. Recreation

Organize and ensure staff carry out diverse educational and recreational activities for all individuals during downtime.

Maximize independence to make recreational activities accessible without a car and without staff as often as possible, if applicable.

Transport individuals to recreational activities, by personal vehicle or agency vehicle.

Provide supervision to individuals and staff while in the community, as stated in each individual’s ISP and Price Center Policies.

Responsible for organizing weekend activities and ensuring staff are equipped to carry out weekend activities; responsible for ensuring weekend activities were conducted.


VI. Programmatic

Assist the Program Director on developing budget recommendations.

Responsible for ordering program supplies and maintaining/ overseeing supply inventory.

Assist the Program Director in developing and implementing program procedures that reflect the individual operational needs of the program.

Participate in program licensing procedures. Responsible for completing licensing indicators as assigned by QA Manager and Program Director. Maintain compliance with regulatory, accreditation, and licensing affiliates.

Responsible for completing and reviewing all Human Rights items within the program.

Ensure timely completion of all assigned programmatic tasks.

Responsible for providing last minute coverage for staff call-outs if coverage is not found through another Price Center staff member.

Participate in the on-call rotation and provide weekend support as necessary.

Responsible for staff scheduling with limited agency staff use.

Responsible for the daily upkeep of the house and identifying any maintenance issues in a timely manner. Must submit maintenance tickets and responsible for following through on maintenance recommendations or assignments.

Daily documentation in each individual’s binder to include ISP objective documentation, bowel movements, hygiene and body charts, menses chart (where applicable), and others as assigned specific to the individual.

Responsible for all house purchases (food shopping, supplies, etc.).

Must be available to provide shift oversight on all shifts. Must maintain programmatic discipline in creating own schedule to fit the program’s needs.


VII. Communication

Ensure each individual has the opportunity for choice (food, TV, activity, etc.) by using their preferred method of communication.

Maintain timely and effective communication regarding individual updates and program needs to the Program Director and house staff.

Maintain positive communication with families of individuals, neighbors, employers, and service professionals.

Check Price Center email daily and respond to correspondence within 24 hrs.

Check your program mailbox weekly located at Christina Street.

Participate in and responsible for shift report oversight at the start and end of each shifts:

  • Provide a pre/post shift debrief with incoming/outgoing staff regarding any incidents, such as a sick individual, witnessed or unwitnessed fall that requires monitoring, etc.
  • Unexpected hospitalization with detail account.
  • Report any behaviors that occurred and any other general maintenance issues.
  • Review and sign off on staff communication logbook.


VIII. Safety

Organize, participate, and complete monthly fire drills and follow-up training as needed for individuals who do not meet requirements for self-preservation.

Ensure the residence and egresses are clean and clutter-free. Report all environmental hazards to supervisor.

Complete monthly safety inspections according to the items required for each month.

Ensure staff/ individual ratios are maintained at all times.

Provide proper supervision to staff and individuals at the residence and in the community, as stated in individual ISP’s.

All staff need to be knowledgeable in universal contact, isolation precautions and proper use of personal protective equipment (PPE). Trainings are provided as needed.


X. Staff Supervision and Management

Serve as the primary person in charge during each working day (as assigned), giving direction and instruction as needed to regular and relief staff.

Responsible for staff training and ensuring staff are trained on all required trainings as assigned.

Responsible for implanting and holding staff accountable on all Price Center policies and procedures.

Responsible for staff supervision and must conduct monthly supervision sessions with each staff member.

Participate in hiring, orientation, supervision, and evaluation of all house staff members.

Coordinate and facilitate implementation of in-service training for staff.

Facilitate monthly staff meetings.

Meet regularly with Program Director and participate in all management meetings, as scheduled.

Responsible for the overall functioning and quality of the program.


Requirements: High School Diploma and three (3) years of supervisory experience working with persons with developmental disabilities. Demonstrated teaching skills. Ability to interact with individuals/staff/families in a professional manner. Must be MAP certified. Ability to work successfully as a member of a program team. Ability to communicate both orally and in writing. Ability to lift, transfer and support body weight of any program individual with the assistance of another employee. Must have early morning and later evening availability in addition to weekend availability.


Preference: Bachelor’s degree, Associates degree, and/or at least five (5) year experience working with persons with developmental disabilities in a residential setting. Possession of a valid Driver’s license, a good driving record and a willingness to use personal or agency vehicle during the course of employment.
