POSITION OVERVIEW

The Support Coordinator at NBME provides essential administrative and logistical support to various committees within the organization. This role involves managing routine tasks such as scheduling meetings, processing invoices, coordinating travel arrangements, and preparing documents. The ideal candidate will demonstrate strong organizational skills, excellent interpersonal communication, and the ability to handle multiple tasks efficiently in a fast-paced environment.

This role has been designated as primarily remote, meaning it requires little to no onsite attendance. While this role can be designated as remote, you are offered the flexibility to select if you prefer to work primarily remotely, hybrid, or onsite. We're open to considering candidates within 50 miles of our office location in Philadelphia, PA.

RESPONSIBILITIES

  • General Administrative Support: Provide administrative assistance to committees, including scheduling meetings, making travel and dinner reservations, processing invoices, and preparing documents and reports.
  • Communication and Coordination: Serve as a point of contact for frequent and routine communications with internal and external stakeholders. Manage correspondence, respond to inquiries, and maintain records.
  • Budget Management: Compile, track, and prepare budgetary information for committees. Monitor budgets and provide regular updates.
  • Meeting and Event Coordination: Organize in-person and virtual meetings, including scheduling, catering, hotel bookings, IT support, and meeting room arrangements. Prepare and distribute meeting materials.
  • Data Management: Maintain databases and systems, compile and analyze data for reports, and ensure efficient record keeping and tracking of documents.
  • Project Support: Assist with the coordination of projects, including scheduling, preparing materials, and coordinating with various departments.

Experience

  • At least 2 years of relevant administrative and event planning assistance experience.

Education

  • High school diploma or equivalent required; Bachelor's degree preferred.
