Job Description
PMO Team Administrative Support / Coordination
- General administrative and logistical support for project activities, could include:
- Minute meetings
- Project calendar management
- Meeting management, calendar support for standing project meetings, testing sessions, etc. (Onsite and MS Teams)
- Onsite space reservations
- Testing Support
- Script / scenario organization
- Meetings
- Documentation / tracking / follow-ups
- Command Center Support
- Scripts, tracking, monitoring
- Service Desk Coordination
- Space coordination, logistics, planning
- User Account Provisioning
Project Team Collaboration / Tools Support
- Sharepoint site and Teams channels creation, management of users permissions, organization of documents, maintenance/ administration
- QA of signoffs, deliverables, sign offs
- Support PMO team with documentation, follow up (RAID log items, late tasks, deliverables follow up)
- Status reporting support
- Testing documentation
- RAID target date follow up
- KDD/Approval follow ups
- Milestone Scheduling support (i.e. testing sessions, KDD review, etc.)
- Onboarding / offboarding / orientation support for new project team members
- Project team training support (as applicable)
Vendor Administrative Support
- Serve as main point of contact for vendor administrative management (expenses, invoices, onboarding)
Expenses:
- Timesheet collection, expenses collection, review for accuracy, timesheet invoice reconciliation
- Invoice submissions
- Follow up with payment / invoices
- PO submissions, if applicable
- SOW processing / renewals / tracking
Onboarding:
- Process SOWs
- User account provisioning
- Remote access / onboarding orientation
Governance Support
- Meeting invite management
- Meeting minutes, notes, follow up actions, distribution
- Ensure agenda prep sessions, follow ups
- Slide editing, formatting
- Record meetings, set to never expire
Administrative support for Program Executive:
- Calendar management
- Scheduling project meetings (typically ones involving executives, larger meetings (e.g. testing), could include workstream meetings)
- Governance meetings (Sponsors, governance, steering)
- Power point slide editing
- Meeting minutes
