Job Description

PMO Team Administrative Support / Coordination

  1. General administrative and logistical support for project activities, could include:
  2. Minute meetings
  3. Project calendar management
  4. Meeting management, calendar support for standing project meetings, testing sessions, etc. (Onsite and MS Teams)
  5. Onsite space reservations
  6. Testing Support
  7. Script / scenario organization
  8. Meetings
  9. Documentation / tracking / follow-ups
  10. Command Center Support
  11. Scripts, tracking, monitoring
  12. Service Desk Coordination
  13. Space coordination, logistics, planning
  14. User Account Provisioning


Project Team Collaboration / Tools Support

  1. Sharepoint site and Teams channels creation, management of users permissions, organization of documents, maintenance/ administration
  2. QA of signoffs, deliverables, sign offs
  3. Support PMO team with documentation, follow up (RAID log items, late tasks, deliverables follow up)
  4. Status reporting support
  5. Testing documentation
  6. RAID target date follow up
  7. KDD/Approval follow ups
  8. Milestone Scheduling support (i.e. testing sessions, KDD review, etc.)
  9. Onboarding / offboarding / orientation support for new project team members
  10. Project team training support (as applicable)


Vendor Administrative Support

  1. Serve as main point of contact for vendor administrative management (expenses, invoices, onboarding)

Expenses:

  1. Timesheet collection, expenses collection, review for accuracy, timesheet invoice reconciliation
  2. Invoice submissions
  3. Follow up with payment / invoices
  4. PO submissions, if applicable
  5. SOW processing / renewals / tracking


Onboarding:

  1. Process SOWs
  2. User account provisioning
  3. Remote access / onboarding orientation


Governance Support

  1. Meeting invite management
  2. Meeting minutes, notes, follow up actions, distribution
  3. Ensure agenda prep sessions, follow ups
  4. Slide editing, formatting
  5. Record meetings, set to never expire


Administrative support for Program Executive:

  1. Calendar management
  2. Scheduling project meetings (typically ones involving executives, larger meetings (e.g. testing), could include workstream meetings)
  3. Governance meetings (Sponsors, governance, steering)
  4. Power point slide editing
  5. Meeting minutes
