Reporting to the Chief Financial Officer, this position is a mid-level role within the accounting department. It is responsible for comprehensive payroll management, including system maintenance, payroll processing, reconciliations, W-2 forms, data provision to the 401k plan provider, collaboration with auditors (both third party and company CPA) for payroll and benefits-related audits, and overseeing all aspects of benefits accounting (excluding employee-facing benefits responsibilities).

ENTRY SKILLS:

  • Strong organizational and interpersonal skills are essential.
  • Demonstrated ability to effectively prioritize tasks.
  • Proficient in numerical aptitude with meticulous attention to detail.
  • Capable of administering reasonably complex processes.
  • Consistently meets deadlines.
  • Proficient in working independently with minimal supervision.
  • Familiarity with Windows OS, MS Excel, MS Word, Outlook, and Teams, and Viewpoint software.
  • Intermediate understanding of accounting principles with the ability to apply them during reconciliations and journal entry preparation.
  • Five years of full cycle payroll experience minimum.

PAYROLL ADMINISTRATOR RESPONSIBILITIES:

  • Collaborate with the human resources department to maintain accurate employee data.
  • Manage the timesheet system efficiently.
  • Process weekly and monthly payments for all wages, withholdings, and deductions, including benefits premiums and deductions.
  • Calculates and pays payroll related taxes.
  • Execute payroll processes accurately and efficiently, both independently and in collaboration with team members.
  • Ensure meticulous compliance with federal and state regulations, including the timely filing of all required reports and returns.
  • Provide prompt and professional responses to employee inquiries regarding payroll-related matters.
  • Stay current with wage and earnings law, labor standards and government regulations, including workman's compensation and Cobra policies, to ensure continuous compliance.
  • Ensure precise system updates, including rates and calculation settings.
  • Handle certified payroll reporting, including platforms such as LCP Tracker, and other relevant platforms.
  • Maintain various payroll-related Excel worksheets.
  • Maintain all digital and hard copy payroll data retention.
  • May assist with minor office duties, such as receiving deliveries and mail.
  • While the primary focus initially is payroll processing, other responsibilities will be added when capacity allows.
  • Perform any other duties assigned by the Chief Financial Officer.

PAYROLL ADMINISTRATOR QUALIFICATIONS:

  • Bachelor’s degree or equivalent years of experience in Accounting, Finance, or a related field is preferred. A minimum of five years of full cycle payroll experience required.
  • AEC industry accounting experience is highly preferred.
  • Strong analytical and problem-solving skills.
  • Excellent written and verbal communication skills.
  • The ability to maintain strict confidentiality when handling sensitive payroll and employee information is required.
  • Proficiency in payroll software and familiarity with payroll tax regulations is a valuable asset.
  • Strong Microsoft Excel skills required.

PAYROLL ADMINISTRATOR COMPENSATION:

In accordance with the Colorado Equal Pay for Equal Work Act the salary range for this position will be $70,000 to $85,000 + Profit Sharing. Actual base pay within this range will be determined by several components including, but not limited to, relevant experience, internal equity, skills, qualifications, and other job-related factors permitted by law.
