The Office Assistant and HR Specialist is a dual-role position for overseeing the administrative functions of the office while managing human resources activities. This role is crucial in ensuring the office runs smoothly and efficiently, and that HR practices are aligned with organizational goals.

Responsibilities
  • Oversee day-to-day office operations.
  • Manage office supplies inventory and place orders as necessary.
  • Ensure office equipment is maintained, relevant records are up-to-date, and all administrative processes work effectively.
  • Coordinate office events and activities.
  • Liaise with building management and maintenance teams.
  • Handle office layout planning and space allocation.
  • Coordinate the recruitment process, including job postings, resume screening, and interviewing.
  • Manage the onboarding process for new hires, including orientation and training.
  • Act as a point of contact for employees regarding HR-related inquiries and issues.
  • Foster a positive and inclusive workplace culture.
  • Handle conflict resolution and disciplinary actions as needed.
  • Ensure compliance with labor laws and company policies.
  • Maintain accurate and up-to-date employee records.
  • Manage HR documentation and filing systems.
  • Assist in the development and implementation of performance management systems.
  • Support managers in conducting performance reviews and providing feedback.

Requirements
  • Bachelors degree in Business Administration, Human Resources, or a related field.
  • Minimum of 3-5 years of experience in office management and/or human resources.
  • Experience in a similar dual-role position is preferred.
  • Strong organizational and multitasking abilities.
  • Excellent interpersonal and communication skills.
  • Proficient in MS Office Suite and HR software.
  • Knowledge of labor laws and HR best practices.
  • Ability to handle sensitive information with confidentiality and professionalism.
