YOUR NEXT OPPORTUNITY:

The Events Specialist will play a key role in both internal and external event planning stages and day-of event execution. In this role, the primary aim is to ensure each element of the event aligns with the vision and objectives put in place. Ideal candidates will have a proven ability to manage multiple tasks in a fast-past environment, demonstrate expertise in developing end-to-end event processes and ensure seamless execution exceeding client expectations. The Events Specialist will lead efforts to enhance the Rosendin brand through strategic event initiatives to reinforce our status as the preferred employer in the construction industry, creating event experiences that generate demand and solidify our position as a key player in the market.

WHAT YOU'LL DO:
  • Planning and Development: Develop and manage project plans, including documentation of strategy, process, objectives, deliverables, and timelines.

  • Budget Management: Ensure maximum efficiency in all cost-related decisions in managing event budgets. Track expenses, identify cost-saving opportunities, and provide transparent financial reporting to stakeholders.

  • Vendor Management: Select and manage relationships with vendors, negotiating contracts and ensuring compliance with all event specifications.

  • Venue Coordination: Oversee the selection and booking of venues, ensuring they meet all event requirements and standards.

  • Logistics Management: Coordinate and facilitate all event logistics including transportation, hotel accommodations, catering, entertainment, presentation materials, décor, marketing materials, security, entertainment, audio visual needs, equipment, and addressing any issues that may arise during internal and external events.

  • Lead Generation: Collaborate on event lead generation strategies with business development and marketing teams where applicable.

  • Client and Guest Relations: Maintain continuous communication with clients to ensure their requirements are met and provide regular updates. Utilize data-driven insights to continuously optimize event strategies, providing stakeholders with clear and actionable metrics that align with business goals. Manage guest interactions before, during, and after the event.

  • Scheduling and Coordination: Oversee the scheduling and coordination of staff and volunteers for events.

  • Post-Event Evaluation: Conduct debriefing sessions and provide reports on the event's success, including feedback from clients and attendees for future improvements.

WHAT YOU'LL NEED TO BE SUCCESSFUL:
  • Strong attention to detail, problem solving aptitude, and the ability manage multiple tasks simultaneously under tight deadlines is crucial.

  • Superior organizational, project management, interpersonal, and written and verbal communication skills.

  • Proven ability to foster collaborative relationships with a diverse spectrum of individuals, both internal and external.

  • Comfortably navigate and engage with cross-functional teams, executives, stakeholders, exhibiting confidence and adaptability.

  • Ability to work under pressure and execute sound decisions, emergency action plans, and evacuation procedures if necessary.

  • Demonstrated experience negotiating quotes and agreements with vendors.

WHAT YOU BRING TO US:
  • 3 - 5 years of experience in corporate event management

  • Bachelor's degree in event management, business, marketing, hospitality management, or related field; OR certification as Certified Meetings Professional, Certified Special Events Professional, or Certified Event Planning Specialist

  • Construction industry expertise a plus

  • Ability to travel up to 50% and flexibility to work nights, weekends to support event schedules

  • Excellent writing, spreadsheet, and presentation skills; clear and articulate communicator

  • Positive and motivated self-starter

  • Computer proficient in Microsoft Office and moderate technical experience with Adobe Creative Suite products.

WORKING CONDITIONS:
  • General work environment - sitting for long periods, standing, walking, typing, carrying, pushing, bending. Work is conducted primarily indoors with varying environmental conditions such as fluorescent lighting and air conditioning

  • Noise level is usually low to medium; it can be loud on the jobsite.

  • Occasional lifting of up to 30 lbs.
