THE GIST:

Our client, a commercial real estate investment firm, seeks a top-notch Executive Assistant to support their Founder. This role will involve expert coordination of all daily executive administrative functions, in addition to providing occasional personal assistance. The ideal candidate has a proven track record of providing executive-level support and has experience working with investors and board members. The role is mainly based out of their San Francisco office, with one day per week in Hillsborough at the founder's personal home.


This is a great opportunity to work alongside an impressive executive at an established firm


THE NITTY GRITTY:

  • Expertly manage founder's complex calendars (both business & personal), coordinate meetings, and confirm appointments
  • Arrange both international & domestic travel and prepare itineraries
  • Manage incoming email communications with a strong sense of urgency, discretion, and tactfulness
  • Travel to founder's Burlingame personal residence one day per week
  • Manage and regularly communicate with household staff on behalf of founder
  • Assist with the planning & execution of social and firm events
  • Regularly interact with important investors, stakeholders, and board members
  • Prepare documents, correspondences, and meeting materials
  • Order office supplies, take inventory, and work with outside vendors
  • Process expenses and invoices
  • Assist with other administrative tasks & projects, as needed

THE ESSENTIALS:

  • 5+ years of experience as an Executive Assistant
  • Reliable form of transportation required
  • Experience working in private equity, venture capital, and/or investment management highly preferred
  • Experience working with investors and board members in a highly visible role preferred
  • Previous experience with personal assistant support a plus
  • Flexible to work between San Francisco office & founder's Burlingame personal residence
  • Polished and professional communication style
  • Impeccable attention to detail
  • Superior level of discretion and confidentiality
  • Ability to thrive in a dynamic environment with tight deadlines
