HR & Benefits Specialist Summary:

Incumbent provides high-level HR administrative support to all employees, including all aspects of employee benefits and compensation programs, including all health insurance coverages, 401K, well-being programs and any other employee related benefit programs.

HR & Benefits Specialist Qualifications: An Associate Degree or greater in Business Management, Human Resources, or related field and/or a minimum of four (4) years of experience in benefit administration. Professional certification a plus. Must possess a valid driver’s license with an acceptable three (3) year driving record preferred.


Essential Elements of the HR & Benefits Specialist:

  1. Maintain current knowledge of federal and state Human Resources Laws, such as Family Medical Leave Act (FMLA), Americans with Disabilities Act As Amended (ADAAA), Equal Employment Opportunity (EEO), Fair Labor Standards Act (FLSA), Department of Labor (DOL) and Occupational Safety and Health Act (OSHA).
  2. Act as internal resource regarding FMLA requests by directing employee to third party administrator. Enter employees time off weekly into the payroll system.
  3. Ensure that all benefit plans are compliant by distributing notices to participants.
  4. Administer various employee benefit programs, such as group health, vision, dental, accident & critical illness, disability, life, AD&D, cafeteria plans and employee well-being programs.
  5. Present benefits presentation during new hire on-boarding, along with entering the necessary data into the appropriate systems.
  6. Process short-term and long-term employee disability claims, 401k employee premiums/contributions, profit-sharing contributions, Pen-Serv employee premiums/contributions and other related employee benefit premiums as required.
  7. Under the direction of the AVP of HR, coordinate with Health and 401K brokers to ensure compliance with benefit programs and review programs on a quarterly basis to maintain costs and review all plans.
  8. Process monthly health program reporting from TPA.
  9. Schedule and attend 401(k) meetings with company advisor minimally on a bi-annual basis.
  10. Coordinate HR procedures to initiate benefits. Implement new benefits programs; arrange and conduct employee information presentations, and annual open enrollments.
  11. Verify the calculation of the monthly premium statements for all group insurance policies and maintain statistical data relative to premiums, claims, and costs. Resolve administrative problems with the carrier representatives.
  12. Process invoice payments for all employee health care benefit plans.
  13. Process and enter employee health premiums in ADP Compensation and Benefits Module.
  14. Administer benefits enrollment meetings to all new hires and employees changing work status.
  15. Process benefit and payroll changes for terminating employees and those changing work status.
  16. Coordinate annual open enrollment and process requests through ADP Open Enrollment Module.
  17. Work with vendors to assure appropriate carrier connections are completed.
  18. Educate managers and supervisors on Credit Union employment policies and procedures, employee handbook, employee benefits and ensure a clear understanding of MWA’s operations, mission, and employee expectations.
  19. Set strategic direction for the employee benefits based on MWA’ organizational values and mission statement.
  20. Conduct HR compliance training for all employees, and new managers, as required.
  21. Tactfully communicate with internal and external contacts at all levels such as: front line staff, Operations Management, Support Departments, Senior Level Executives, CEO, vendors, and members.
  22. Assist with conducting non-exempt face-to-face employee exit or transfer interviews in accordance with our policy.
  23. Coordinate with managers to complete the First Report of Injury form for all employees and members of the public who have suffered an accident/incident in the workplace.
  24. Schedule medical treatment appointments with an authorized provider for injured employees.
  25. Report employee or members of the public accident/incident to worker’s compensation/liability carrier and coordinate follow-up.
  26. Communicate any employee work restrictions to appropriate managers and AVP of Human Resources.
  27. Maintain and coordinate OSHA required 300 Log for reporting and recordkeeping purposes.
  28. Post OSHA 300 Log annually at facility as required by law

Additional Job Requirements:

  1. Assist with Credit Union Management, and the Well Being program, to develop employee engagement programs and systems that support a culture of high-performance and enhance the employee experience.
  2. Maintain ACA compliance under the direction of the AVP of Human Resources.
  3. Back-up for payroll processing and employee performance appraisal process.
  4. Actively participate in HR seminars and workshops as required.
  5. Other HR duties as assigned.

Job Skills and Work Relations:

Incumbent must demonstrate strong written and verbal communication skills and effectively handle multiple tasks simultaneously. Must possess strong abstract reasoning and problem-solving skills. Incumbent displays basic knowledge of the principles and practices of Human Resource laws, local and state personnel regulations and requirements and relevant field experience. Must have strong knowledge of the Credit Union employment policies and procedures. Proficient with Microsoft Outlook, Word, Excel and PowerPoint. Incumbent must possess good judgement, be innovative, have initiative, display professionalism and maintain confidentiality at all times.
