Summary

The primary function of this position is to assist Buyers & Merchants with daily essential tasks.


Essential Responsibilities

  1. Obtain receiving paperwork from all warehouses - separate, prepare and distribute the paperwork for the buyers. Request invoices from vendors if necessary.
  2. Reconcile receiving paperwork with invoices and forward to appropriate internal stakeholders for approval.
  3. Organize approved invoices and turn into accounting in a timely manner.
  4. Perform monthly, quarterly and end of year reconciliation, and assist with paperwork issues.
  5. Update and maintain OwnCloud, including organizing uploads into monthly buckets, archiving, loading documents & maintaining contact list.
  6. Update and maintain Order Tracker information and assist in following up with vendors for current PO information.
  7. Load and maintain item, PO and vendor information in Mozart and CMS.
  8. Cultivate relationships and maintain ongoing communications with vendors.
  9. Facilitate monthly sales reports and quarterly vendor returns reports and contacting the vendors to obtain credits.
  10. Support National Brand Team in updating daily reports and communicating with vendors as necessary to obtain invoices and/or credit requests.
  11. Maintain Purchasing database of collected Material Safety Data Sheets and act as the point of contact to collect and distribute internally any new MSDS sheets obtained.
  12. Entering of packaging work orders based on analysis of sales and on-hand inventories.
  13. Maintain a positive and professional working relationship with peers, management, and support resources, with a constant commitment to teamwork and exemplary customer service.
  14. Conducts self in the presence of customers and community so as to present a professional image of SHP.
