CFCU Community Credit Union (CFCU) is seeking a driven and enthusiastic Administrative Assistant who will provide administrative support for the VP of Member Experience and VP of Information Technology through administrative tasks, monthly reporting and special projects. The successful candidate will be proactive, highly self-motivated, well-organized, and will have strong willingness to learn and problem solve. This individual must possess the ability to communicate effectively with all levels of the organization and focus upon completing diverse set of tasks independently.

Essential Functions & Responsibilities – Member Experience:

· Prepares month end reports, charts, graphs, and dashboards for management, arranges various meetings at the request of the VP/AVP of Member Experience & AVP Member Solutions.

· Assists with the coordination, retrieval and distribution of various reports from the core system and any ancillary systems.

· Provides various month end sales reports to the branch managers.

· Prepares and distributes meeting agendas.

· Attends various monthly meetings including but not limited to Retail Manager and Teller Supervisor meetings, when scheduled, to complete and distribute minutes.

· Updates and maintains pages on CFCUniverse for Retail inclusive of Branch Operations, all Branches, Member Experience, & Member Solutions.

· Compiles documents and files requested for audits and regulatory examinations and drafts responses to any related findings.

· Drafts and designs general correspondence and memos. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.

· Coordinates special projects on behalf of the VP of Member Experience and other departments. Manages project status reports, action items, and deadline targets.

· Branch staff follow up as requested.

· Performs other miscellaneous projects and duties as assigned.


Essential Functions & Responsibilities – Information Technology:

· Manage all incoming e-mails for the VP of IT with a focus on organization, categorizing into folders and deleting unnecessary items (as determined by VP of IT).

· Manage all incoming invoices to make sure they are signed and submitted in a timely manner by setting them up to be digitally signed and routed to all necessary parties including Accounts Payable.

· Organize and manage current physical inventory at 1030 Craft Road location. Ensure all items are accounted for, logged, signed in and out as appropriate.

· Work with VP of IT and IT Manager to organize and prioritize existing and incoming iTrak tickets. Assist to categorize tickets in order of importance and with help of VP & Manager, assign tickets as appropriate.

· Coordinate, schedule, & attend various meetings – sending out agendas, taking minutes, and providing recaps to all parties in attendance. Meetings may include but are not limited to…daily IT morning huddle, IT/Retail Collaboration, etc.

· Update the IT project list monthly to provide to project management.

Requirements:

• 2-5 years administrative or related experience.

• Strong communication skills, both written and oral. The ability to provide clear and professional communication to credit union members, other departments’, staff, and vendors.

• Understands all software programs applicable to retail financial services and can use them proficiently.

• Proficient in Microsoft Office with emphasis on Word, Excel, and Outlook.

• Ability to work well in both independent and highly collaborative settings. Ability to deal with ambiguity.

• Self-motivated with a willingness to learn.

• The ability to think strategically.

• Good problem solving and analytical skills.
