We are looking for a Scheduling Supervisor to join our team

The Scheduling Supervisor is responsible for managing a team of Route Based Service and Inspection Scheduling Administrators who establish daily schedules for Field Technicians providing fire protection services to a wide variety of customers to achieve optimal scheduling and technician dispatch, while ensuring all customer obligations are met within PSI efficiency standards. Supervises and sets the schedules for the team, assigns work, and collaborates with other departments as needed to support the scheduling team to ensure a positive customer experience and compliance with standard operating procedures.

A flexible, hybrid schedule option is available after successful completion of training. You can expect to work 1-2 days remotely and 3-4 days in the office each week.

Hourly pay ranges from $30-$35/hour depending on applicable skills and experience.

What you'll be doing:

  • Manages and oversees the activities of Scheduling staff. Plans and develops consistent and scalable procedures based on needs and input from management team.
  • Consistently meets schedule specific KPIs as set by management including utilization and productivity targets.
  • Leverages Field Service software to review reports daily to ensure efficient technician schedules (jobs and travel time) meeting scheduling productivity standards.
  • Address escalated customer concerns or requests by collaborating with fellow managers and internal stakeholders to achieve resolution.
  • Assists Schedule Administrators, management, and customers with schedule-specific questions, escalating when appropriate.
  • Monitors team efficiencies and leads continuous improvement efforts.
  • Implements organizational procedures as needed.
  • Prepares reports on department activities for management.
  • Develops employee skills and performance through ongoing training and coaching.
  • Trains, and develops new employees to job standards.
  • Provides ongoing feedback on an employees’ performance, helping to develop skills where needed, and addressing performance issues.
  • Holds individual employee meetings and team meetings, as needed.
  • Completes employee performance evaluations, providing feedback on strengths and areas for improvement.
  • Initiates or authorizes employment actions, such as performance documentation, promotion, etc. with approval from Scheduling Manager
  • Other duties and related special projects as assigned by manager.

Requirements:

  • Minimum of a High School Diploma or GED.
  • Minimum of 5 years administrative experience.
  • 1-3 years scheduling and/or dispatching experience preferred.
  • Knowledge of or experience with fire life safety or other similar industries preferred.
  • Advanced computer and software skills, such as Microsoft, CRM, ERP, and Field Service Management software.
  • Demonstrates excellent customer service, professional etiquette, and people management experience.
