We are seeking a dynamic and motivated Medical Office Administrative Assistant to join our team. This position will play a crucial role in the operation of our practice, with a focus on both administrative tasks and business development initiatives. The ideal candidate will be organized, personable, and passionate about mental health advocacy. Experience with Valant or similar EHR is required.

This position is in-person, in-office, M-F


Essential Functions:

  • Screen incoming calls and emails, providing information and scheduling appointments as needed.
  • Insurance authorizations, verification of benefits, billing, and collections
  • Manage appointment calendars and ensure efficient scheduling of client sessions.
  • Coordinate with therapists and clients to confirm appointments and manage cancellations or rescheduling requests.
  • Maintain accurate client records and ensure compliance with HIPAA and confidentiality regulations.
  • Generate new referral partnerships with healthcare professionals, community organizations, and businesses to expand our network and increase client referrals.
  • Attend networking events, conferences, and community outreach activities to promote our services and build relationships with potential referral sources.
  • Collaborate with Clinical Director and Operations Manager to develop and implement strategies for attracting new clients and retaining existing ones.

Monitor and analyze key performance metrics related to client acquisition and retention, providing regular reports to management.

Requirements:
  • Bachelor's degree in psychology, business administration, or a related field preferred.
  • Previous experience in a mental health setting or healthcare administration.
  • Strong communication and interpersonal skills, with the ability to interact effectively with clients and professionals from diverse backgrounds.
  • Proven ability to manage multiple tasks and prioritize workload in a fast-paced environment.
  • Excellent organizational skills and attention to detail.
  • Proficiency in Google Suite or Microsoft Office Suite.
  • Demonstrated ability to think creatively and strategically about business development opportunities.
