Office Manager

The Office Manager is responsible for compliance within the office for invoicing, payroll, and other document controls. This position requires a process-oriented person that thrives in a fast-paced environment. If you like staying busy and not repeating tasks daily this is the job for you

The Office Manager works directly with the Chief Operations Officer to ensure that payroll, invoices, payments, bonds, insurance certificates and other critical office tasks are completed on time and with accuracy.

Position Overview:

  • Maintain electronic certified payroll compliance
  • Assist with annual insurance audits,
  • Oversee subcontractor document compliance of contracts, COI’s, NTTC’s and prevailing wages
  • Apply basic understanding of federal, state, and local prevailing wage laws (Davis-Bacon and Related Act (DBRA), NM Prevailing Wage, Substance Pay, and other relevant regulations) and knowledgeable of prevailing wage requirements to support specific projects
  • Monitor contractor and subcontractor reporting requirements and procedures to ensure compliance with all federal, state, and local laws governing prevailing wage
  • Use Paylocity to submit payroll weekly
  • Create invoices in our Project Managment system and in QuickBooks
  • Reach out to customers for payments
  • Receive payments
  • Verify accuracy of prevailing wage records, ensuring necessary information, daily work records, and fringe benefits are included
  • Abide by record retention guidelines established by state and/or federal government
  • Archive payroll records in appropriate manner
  • Answer phone and help customer get the information they need
  • Help the Project Manager with payment applications and close out documents
  • Check Solar Monitoring systems daily and report issues to the Field for service as needed
  • Issue work orders and schedule work as needed
Requirements:

Pay: $23.00 - $30.00 per hour DOE

Job Type: Full-time


Qualifications:

· Two plus years payroll prevailing wages experience

· Proficient in Microsoft Excel

· Office Experience


Physical Requirement:

· Use of computer equipment; computer, keyboard, monitor, mouse

· Sitting for extended periods of time


Schedule:

  • Monday-Thursday, 10-hour shifts
