Position Overview

Bohannan Huston is on the lookout for a skilled and results-driven Office Facilities Operations Manager to lead the daily management and upkeep of our office facilities. This pivotal role involves ensuring a clean, secure, and efficient work environment for our staff and tenants, while supervising a team member, managing a fleet of company vehicles, and delivering essential support services.

Key Responsibilities:
  • Formulate and execute thorough preventative maintenance strategies for our facilities, covering HVAC systems, electrical installations, plumbing, and fire safety apparatus.
  • Address HVAC concerns utilizing the designated management software.
  • Organize and oversee routine assessments of our facilities and grounds, identifying and rectifying potential maintenance challenges swiftly.
  • Coordinate and manage repairs with certified vendors and contractors, ensuring cost-efficiency and prompt execution.
  • Conduct minor repairs where applicable.
  • Supervise and maintain a fleet of company vehicles, including scheduling maintenance, coordinating repairs, and ensuring proper documentation and registration.
  • Manage a team member, offering training, guidance, and performance evaluations.
  • Oversee contracted cleaning services to guarantee consistent high-quality sanitation of all office areas, communal spaces, and restrooms. Conduct regular quality assessments and maintain open communication with the cleaning service provider.
  • Develop and maintain precise records of all maintenance activities for our facilities, including work orders, invoices, and warranties.
  • Respond to urgent situations, ensuring the safety and well-being of all occupants, including staff.
  • Stay informed on relevant codes and regulations pertaining to facility maintenance and safety.
  • Provide essential support services for employees:
    • Ensure a sufficient inventory of office supplies and their availability for staff.
    • Oversee mailroom operations, which may involve coordinating internal mail delivery and pick-up, maintaining supplies, and addressing any mail-related issues.
    • Manage coffee stations, including restocking supplies (coffee, filters, condiments), ensuring equipment functionality, and maintaining cleanliness.
  • Assist with space management and office reconfigurations as necessary for internal use in our facilities.
  • Contribute to the development and execution of sustainable facility management plans for both locations.
Qualifications:
  • Minimum of 3 years of experience in facilities management, preferably overseeing multiple sites.
  • Capable of performing minor maintenance tasks. (Sink repairs, HVAC cleaning, etc.)
  • Demonstrated experience in formulating and executing preventative maintenance strategies.
  • Strong knowledge of building systems, including HVAC, electrical, and plumbing.
  • Excellent communication, interpersonal, and organizational abilities.
  • Ability to prioritize tasks, manage multiple projects concurrently, and meet deadlines.
  • Experience collaborating with vendors and contractors.
  • Proficient in Microsoft Office Suite and facility management software (a plus).
  • Valid driver's license.
