Champions for Children's Positive Parenting Partnership (P3) parenting education and support program is seeking an Administrative Specialist, who is energetic, friendly, detail orientation, highly organized and who has prior work experience in a similar position. This position is responsible for a variety of administrative and office support functions, including managing inventory, scheduling appointments, data entry, and account reconciliation, and other administrative/office functions.

This position is in the office and not eligible for remote work. The position reports to the Program Manager.

Work location: Champions for Children, 12937 N. Telecom Parkway, Temple Terrace, FL

Wage rate: Range starting at $18.87 per hour, 37.5 hour per week schedule, approximately $36800. Highly qualified candidate may start at $20.00 per hour/ $39000.

Hours: 7.5 hours work day, approximately 8:30 to 4:30 Monday - Friday with a 1/2 hour unpaid lunch.

Champions is a charitable nonprofit organization under 501(c)3 located in Tampa, FL.

ESSENTIAL DUTIES:

  1. Responsible for preserving a well maintained, clean, and safe environment for employees and participants; maintains lobby reception area providing a welcoming environment and general support to visitors and staff.
  2. Purchases, orders, reconciles, and maintains inventory of office/program supplies and equipment in accordance with agency and grant requirements. Manages petty cash and codes purchase card transactions.
  3. Oversees and performs data entry in various software applications related to participant activities, training registration and administrative functions.
  4. Answers phones and emails, providing information and assistance.
  5. Scheduling of appointments, meetings, class registrations and trainings; maintains calendars, tracks attendance and incentives for participants.
  6. First level on-site contact for workflow of IT, Telecommunications, Building Maintenance, and other vendors.
  7. Prepares room environments, at our location and off-site, for parent education, trainings and meetings; orders food for trainings and maintains the budget.
  8. Assists Child Watch Specialist with watching participants' children during in-person parenting classes.
  9. Receives and processes incoming and outgoing mail, deliveries, and faxes.
  10. Assists and attends community outreach activities.
  11. Completes reporting requirements with accuracy and timeliness.
  12. Maintains class and outreach activity calendar.
  13. Functions as the central records clerk; maintains all project records, works with staff to coordinate all paperwork and data collection processes of the project.
  14. Maintains regular and punctual attendance to meet organizational productivity and goals.
  15. Supports the agency’s performance and quality improvement processes.
  16. Attends staff meetings, on-going in-service training and supervision as required.
  17. Participates on appropriate agency, project and community planning teams.
  18. Performs other related duties as assigned.

REQUIREMENTS:

  1. Minimum High School Diploma or equivalent, Bachelor’s Degree preferred.
  2. Minimum 3 years business/office administrator/manager experience
  3. Work experience in nonprofit field of child/family education, family support services is a plus.
  4. An equivalent combination of training and experience which demonstrates the knowledge skills and ability to perform the duties will be considered.
  5. Bilingual in English/Spanish an advantage but not required.
  6. Professional, self-directed, follow-through on projects and prompt responsiveness to internal and external stakeholders and able to manage multiple tasks and meet deadlines.
  7. Strong verbal communication skills and demonstrated ability to write clearly and persuasively.
  8. Strong computer skills with proficiency in typing and Microsoft Office Suite, MS 365, SharePoint. Familiarity with accounting software is a plus (will code program purchases).
  9. Good interpersonal skills, team-oriented, customer service focused enjoys working with others.
  10. Detail oriented, with excellent organization skills required.
  11. Availability to occasionally work an evening or Saturday for a special event.
  12. Light physical demands: Regularly required to sit; use hands to finger, handle or feel; reach with hands and arms and talk and hear. Ability to walk, stand, climb stairs, kneel, bend, reach, and manipulate objects; lift and move materials up to 10 pounds on a regular basis; infrequently require to lift or move materials weighing up to 25 pounds.
  13. Some travel in the communities served; must have a reliable car, active auto insurance, and valid Florida driver’s license.
  14. Must be sensitive to the cultural and socioeconomic characteristics of the population that Champions for Children serves.
  15. Must be able to successfully complete a Florida Level 2 criminal background check, motor vehicle records check and drug screening.
